Job Summary:
The Executive Assistant will provide high-level administrative support to our senior executives ensuring their schedules and operations run smoothly and efficiently. The ideal candidate is a proactive problem-solver with exceptional organizational skills a high degree of professionalism and the ability to handle confidential information with discretion. This role requires the ability to multitask in a fast-paced environment while maintaining a calm and positive demeanor.
Requirements:
- Calendar and Schedule Management: Manage and maintain complex calendars for multiple executives including scheduling meetings appointments and travel.
- Conference and Event Planning: Coordinate all aspects of conferences and off-site meetings including venue selection vendor negotiation and managing attendee logistics.
- Travel Coordination: Arrange and manage all aspects of domestic and international travel including flights accommodations ground transportation and creating detailed itineraries.
- Communication: Act as a primary point of contact for internal and external stakeholders. Draft review and edit emails letters and other correspondence on behalf of executives.
- Meeting Preparation: Prepare for meetings by gathering necessary documents creating presentations and taking accurate minutes. Ensure all participants are informed of the agenda and any preparatory materials.
- Administrative Support: Handle a wide range of administrative and clerical tasks such as filing data entry and expense reporting.
- Confidentiality: Maintain a high level of confidentiality and discretion in all dealings.
- Account Generation and Reporting: Generate and analyze reports on key business metrics such as sales data project status or financial performance. Create concise summaries and presentations for the executive team.
Qualifications:
- Experience: Minimum of 5-7 years of experience in an Executive Assistant or similar role supporting senior-level management.
- Skills:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other productivity software.
- Ability to work independently with minimal supervision.
- High degree of professionalism and a polished demeanor.
- Detail-oriented and able to handle multiple projects simultaneously.
- Discretion and a commitment to confidentiality.
