The Program Assistant provides highly responsible and often complex administrative support to the Custody Support/Programs Division of the Maricopa County Sheriffs Office (MCSO). This role regularly interacts with inmates employees of all levels and the public.

Position Qualifications

Education
High school diploma or GED
Experience
Three (3) years of responsible clerical and/or administrative experience.
OR
Combined education and experience
An equivalent combination of post-secondary education and/or experience may substitute for the minimum qualifications on a year-for-year basis.
Other requirements
- Must possess a valid Arizona drivers license or have the ability to obtain by the time of hire.
- Training that may be provided on-the-job: FEMA NIMS IS100 and 700; Safety; Payroll; PREA.
- Prior to hiring the Sheriffs Office requires that all candidates pass a background review.

Essential Job Tasks
(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)
- Performs specialized administrative assistance with the operations and coordination of programs.
- Assists with annual assessment of inmate programming needs through jail surveys inmate program evaluation forms or other approved methods.
- Provides support for development proposals implementation supervision and evaluation of inmate programs; recommends systemic or programmatic changes to the Chain of Command.
- Responds to inmate requests (tank orders) for participation in programs in a timely manner; evaluates in a non-discriminatory manner based on the inmates security/housing classification detention staff recommendations and performance histories; places inmates in appropriate available programs.
- Determines inmate eligibility within Jail Management System (JMS) and distributes rosters to the appropriate detention personnel.
- Prepares maintains and distributes daily class rosters; assists with recruiting screening observing and supervising program facilitators and contract personnel.
- Trains volunteers and contract employees; assists with organization of volunteer orientations and renewal training sessions.
- Assists with planning and organization of annual volunteer recognition events.
- Provides annual budget information; maintains statistical records of participation in programs and volunteer activities and forwards data as requested.
- Represents the division at meetings conferences and presentations as directed.
- Performs follow-up on jail incident reports and resolves problems with contract and volunteer personnel.
- Assists other facilities and sections as needed.
- Provides instruction for inmate programs as necessary when directed.
- Determines the relevance of existing programs need for new programs and assists with delivering division and jail correspondence.
- Acts as liaison with jail staff as well as the community and public agencies in support of the Transition from Jail to Community (TJC) initiative.
- Maintains files and databases; prepares reports forms and correspondence of a highly confidential nature.
- Provides customer service in person by email and telephone with the general public other law enforcement entities attorneys County offices and employees of MCSO.
- Assists with purchasing accounting and personnel functions for the section.
- Directs workflow and participates in special projects and programs as assigned by Custody Support Division and Command.
- Resolves complaints and/or problems for difficult issues.
- Is present at the work site to perform tasks as scheduled and/or assigned by the supervisor.

Work occurs primarily indoors working in MCSO jail facilities with various staff and all classifications of inmates.

SELECTION PROCEDURE:
The hiring authority will select the successful candidate based on departmental needs.
All offers of employment made to new hires and rehires at Maricopa County are contingent upon successful completion of a post-offer pre-employment thorough background investigation. A background investigation is conducted on a current employee who changes to a Safety Sensitive Position or one having the potential for serious adverse impact on the integrity or efficiency of the County. Typically successful candidates are hired at a salary rate up to midpoint of the range based on applicable experience internal equity and budgetary allowances.
