Job Description

Job Summary

The Assistant Director Student Success reporting to the AVP and Dean of Student Life is responsible for ensuring the efficient and orderly execution of assigned operations on the Drexel Elkins Park campus serving approximately 1000 students. The Assistant Director also acts on behalf of the AVP in responding to members of the University community as assigned.

Essential Functions

Student Success Office Support

  • Greet and interact in a professional and courteous manner with current students applicants faculty staff and others visiting the office.
  • Manage shared Student Life inbox and phone lines.
  • Provide reporting and presentation support for AVP and Dean of Student Life.
  • Work with Student Life to update Off Campus Housing materials.
  • Work with University Marketing and Communications to ensure that Student Success materials are updated and available for students.
  • Coordinate the Student Life and Student Success calendar of events on-call/duty schedules meeting arrangements and event details
  • Assist with the research and purchase of supplies technology and office furniture.
  • Collaborate with the Student Success finance and administration team to monitor budgets for Student Success areas.
  • Participate in Student Success Collaborations such as the Veterans Task Force New Student Orientation Commencement etc. to ensure that students have representation and advocacy.

Finance and Administration

  • With assistance from EMSS Office of Finance and Administration assist with the preparation and monitoring of Elkins Park Campus Student Success financial transactions.
  • Make approved purchases and manage the reconciliation of the departmental purchasing card.
  • Submit contracts for review and respond to questions from the Office of the General Counsel prior to requesting purchase orders.
  • Submit contracts requisitions and invoices to SAP Ariba for payment of vendors.

Disability Resources

  • Under the direction of the Director for Disability Resources serve as primary ODR representative on Elkins Park Campus.
  • Coordinate various aspects of the Testing Center including test registration and availability and scheduling exams based on data from the Clockwork database in partnership with the Assistant Director for Testing and Assistive Technology.
  • Collect and maintain Testing Center data including the number of exams proctored per term and location number of students tested number of tests given and type of tests.
  • Partner with the Assistant Director for Testing and Assistive Technology to supervise hire and train proctors for Elkins Park Campus.
  • Create and maintain the accuracy of resource materials for students faculty staff and administration about academic testing services.
  • Establish and implement procedures to verify student eligibility and identity prior to scheduling testing.
  • Reserve and prepare testing room(s).
  • Secure exams and maintain test integrity while materials are in the possession of ODR.
  • Ensure that completed exams are returned to the instructor or program office for grading.
  • Monitor the electronic proctoring system and notify Technology and Library Services (TLS) of any attention needed to ensure its functionality.
  • Proctor examinations as needed.
  • Approve proctor hours worked via the established protocols for payment
  • Work with Assistant Director for Testing and Assistive Technology to coordinate Assistive Technology services for students with accommodation.
  • Coordinate the provision of note-taking and auxiliary services (ie: CART ASL Interpreting) in partnership with the Assistant Director for Testing and Assistive Technology acting as a liaison with service providers and receivers.
  • Oversee alternative and accessible format creation of textbooks and other material (i.e. large print and electronic) for students with accommodations
  • Represent the ODR at campus events as needed.

Supervision of the Student Peer Tutoring Program

  • Liaise with the McGonigal Academic Resource Center (ARC) to ensure best practices in academic support and optimization of resources.
  • Create and coordinate processes and procedures used to deliver services related to the Student Peer Tutoring program.
  • Supervise tutor matching assignments.
  • Acts as the primary liaison between the Office of Student Affairs and the Universitys deans/program directors to ensure the efficient delivery of student peer tutoring services involving the Dean of Student Affairs as needed.
  • Triages and creates solutions for any student concerns regarding the student tutoring program involving the Dean of Student Affairs as needed.
  • Coordinate with the Office of the Registrar to approve students who are eligible to serve as a peer tutor.
  • Coordinate the hiring of student peer tutors to ensure compliance with the Universitys hiring process.
  • Reviews and approves timecards of student peer tutors.
  • Maintains utilization records of the student peer tutoring service within university by program.

Bennett Career Services Center (BCSC)

  • Provides administrative assistance for programming and events hosted by the BCSC as requested by the BCSC Director and/or direct supervisor.
  • Disseminates information to students as requested by BCSC Director and/or Direct supervisor.

This position is classified as Exempt grade J. Compensation for this grade ranges from $47490 -$71230 per year. Please note that the offered rate for thisposition typically aligns with the minimum to midrange of this grade but it can vary based on thesuccessful candidates qualifications and experience department budget and an internal equity review.
