GENERAL DESCRIPTION:


This position ensures the ongoing access and preservation of historically and/or administratively important records through imaging services indexing and quality control that meet ANSI/AIIM and other professional standards.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.

  • Capture digital images of documents or microfilm according to best practices and/or Wyoming State Archives specifications performing quality control on digitized content.
  • Ensure proper handling of collection materialsprep materials by removing fasteners and handling small notes. Ensure the availability of metadata information. Prepare any necessary targets.
  • Perform quality control basic image enhancement and editing. File organizational tasks.
  • Create metadata according to best practices and/or Wyoming State Archives specifications. Work with archives and state agency staff to confirm assigned metadata fields.
  • Transfer final scans to the HPRM database Google Drive folder or other program.
  • Log scans to track the progress of scanning tasks.
  • Troubleshoot basic problems with hardware software and image quality. Refer to problems and ask questions of the supervisor as appropriate.
  • Collect and prepare Wyoming newspapers for the microfilm vendor.
  • Contact publishers when problems arise.
  • Coordinate with the microfilm vendor for paper pickup and microfilm deliveries.
  • Perform quality control complete entries for the microfilm database and file research and master rolls of microfilm when received from the vendor.
  • Maintain logs of all aspects of the microfilming of newspapers process.
  • Coordinate with the State Archivist to send invoices to public libraries for copies of newspaper microfilm and monitor payments.
  • Submit reports and routine updates on progress as required.
  • Communicate effectively.
  • Establish effective working relationships with state agencies.
  • Exercise appropriate judgment in compiling and providing information.
  • Other duties as assigned.

Qualifications


PREFERENCES:


Preference may be given to applicants with one or more years of experience scanning paper documents familiarity with Adobe/PDF creation software and with the Google Suite including Google Drive for sharing documents.


KNOWLEDGE:


  • Knowledge of scanning and imaging systems and procedures.
  • Knowledge of quality control standards for imaging.
  • Knowledge of current technology and trends in the profession.
  • Knowledge of personal computers including software such as spreadsheets relational database programs and scanning and imaging equipment.
  • Knowledge of data compilation and organization.
  • Skill in the use of scanners and image-capturing software.
  • Excellent customer service and communication skills.
  • Ability to work independently and as a team member.

MINIMUM QUALIFICATIONS:

Education:
Associates Degree (typically in Records or Data Management)
Experience:
0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician
OR
Education & ExperienceSubstitution:
2-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician

PHYSICAL WORKING CONDITIONS:


  • Must be able to lift boxes weighing up to 40 pounds with or without accommodation.
