ADMINISTRATIVE ASSISTANT
ABOUT THE BUSINESS:
A dynamic and growing company based in Canning Vale is seeking a highly organised and efficient Administrative Assistant to join its team. This role is ideal for a detail-oriented professional with strong communication skills and a solid understanding of administrative functions particularly within the interior design and construction sectors.
ABOUT THE ROLE
The Administrative Assistant will play a key role in supporting day-to-day office operations. The successful candidate will be reliable punctual and proactive with the ability to work independently and manage multiple tasks. A technical aptitude and familiarity with architectural plans and project coordination are essential.
KEY DUTIES
- Technical & Industry Knowledge
- Interpret architectural construction and house plans with accuracy
- Create hand sketches for bench top quotes and basic design tasks
- Demonstrate familiarity with interior design and construction processes
- Organise project timelines and ensure quotes schedules and deadlines are met
- Prepare cost estimates and liaise with subcontractors
- Customer Service
- Respond to phone and email inquiries professionally
- Maintain clear communication with clients and internal teams
- Manage high volumes of customer emails with strong written skills
- Office Management & Independence
- Operate efficiently when working alone
- Maintain productivity during both busy and quiet periods
- Exhibit professionalism and trustworthiness at all times
- Software & Systems Proficiency
- Use Microsoft Word and Excel for documentation and tracking
- Experience with Xero or similar software is advantageous
- Social Media & Online Presence
- Prepare and schedule posts to maintain company visibility online
- Problem Solving & Adaptability
- Multitask effectively and transition smoothly between responsibilities
- Perform under pressure and remain productive during slower periods
- Schedule appointments and coordinate team calendars
- Prepare contracts amendments and maintain accurate records
- Order materials and assist with site visits when required
CANDIDATE REQUIRMENTS
- Experience in construction or interior design industries
- Ability to read technical plans and produce hand sketches
- Strong written and verbal communication skills
- Proficiency in Microsoft Office; Xero experience preferred
- Ability to work independently with minimal supervision
- High attention to detail and strong organisational skills
