Job Summary

Position Summary

The Database and Administration Specialist provides essential support to the Advancement Department
of Groves Learning Organization (GLO) by managing the donor and alumni database processing gifts
and ensuring accurate reporting. This position also supports administrative operations event
preparation and communication efforts that advance GLOs mission and fundraising goals. The ideal
candidate is detail-oriented highly organized and comfortable working in a collaborative mission-
driven environment.

Key Responsibilities:

Database Management
  • Maintain the integrity accuracy and security of the Advancement database (Blackbaud Raisers Edge)
  • Process all gifts and pledges in a timely manner generate gift receipts and ensure compliance with IRS and school policies.
  • Update constituent records with contact information giving history relationships and other relevant data.
  • Generate reports mailing lists and queries for fundraising stewardship events andcommunications initiatives.
Administrative Support
Assist with the preparation of acknowledgment letters and stewardship materials.
Provide logistical and clerical support for Advancement events meetings and campaigns.
Support the Advancement team with scheduling filing correspondence and budget tracking.
Serve as a point of contact for database-related questions within the department.

Collaboration
Work closely with the Director of Advancement and Advancement staff to support annualgiving campaigns gala and special initiatives.
Coordinate with the Accounting/Finance Department to ensure reconciliation of gifts andfinancial records.
Collaborate across departments to assist faculty staff and volunteers with advancement-related activities as needed.
Qualifications:
Associates degree or higher or equivalent experience.
Experience with fundraising databases (Raisers Edge or similar) strongly preferred.
Strong computer skills including Microsoft Office Suite (Word Excel Outlook).
Excellent attention to detail accuracy and organizational skills.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Strong written and verbal communication skills.
Commitment to confidentiality professionalism and the schools mission.

Schedule & Compensation
Part-time position (approximately 1520 hours per week; some flexibility in scheduling).
Compensation commensurate with experience.
