The Information Resource Center (IRC) Administrative Support Services provides essential administrative and information management support to the U.S. Trade and Development Agency (USTDA) at its headquarters in Arlington VA. USTDA is a U.S. government agency that advances economic development and U.S. commercial interests overseas by funding project preparation activities such as feasibility studies technical assistance and training. The IRC ensures smooth daily operations by managing records information systems mail and file processing visitor reception facilities and audio-visual support and other administrative functions enabling USTDA staff to focus on their mission of connecting U.S. businesses with infrastructure opportunities in emerging markets.

Job Title: Administrative Support Receptionist

Employment Details:
Schedule: 1920 hours/year (40 hrs/week)
Shift: Full-time front desk coverage during business hours (MondayFriday typically 8:30 a.m. to 5:30 p.m.)
12 months from the date of award with 4-year/12-month option periods
About the Role:
We are seeking a Receptionist (Administrative Support) to be the first point of contact for USTDA visitors staff and callers. The Receptionist ensures a professional and welcoming environment while supporting front desk operations
Key Responsibilities:
- Greet and assist visitors staff and stakeholders
- Answer screen and direct incoming phone calls
- Maintain visitor logs badges and security procedures
- Schedule and manage meeting room reservations as needed
- Provide clerical and administrative support to staff
Qualifications:
- 1-3 years of experience in a professional office environment as a support assistant or receptionist or equivalent position
- Experience handling phone calls emails and mail serving as the point of contact for internal and external communication
- Ability to maintain records of receipt mailing dates and other required information
- Ability to ensure appropriate mailing and/or shipping of packages letters etc.
- Experience managing calendars scheduling meetings appointments and greeting high-level guests
- Experience creating and distributing correspondence reports and other documents
- Track inventory of office supplies and notify the admin office of the need to replenish those supplies
- Experience providing general office support such as various administrative tasks data entry filing and customer service
- Ability to manage multiple tasks and prioritize effectively
- Ability to manage the receptionist area
- Effective written and verbal communication skills for interacting with various individuals
- Proficiency in office software and equipment
- High School diploma required higher education preferred
Clearance Requirement:
- U. S. Citizenship
- Must be able to obtain and maintain a SECRET security clearance
- Possess strong organizational and customer service skills
- Possess the ability to respond flexibly and to provide rapid assistance in a time-sensitive environment
- Proficient in the use of commercial software packages and databases such as Microsoft
- Outlook Teams Word PowerPoint and Excel
