Executive Assistant AF Malaysia
Were looking for a proactive detail-oriented and highly organized Executive Assistant to support our COO and ensure the smooth running of daily operations. This role is perfect for someone who thrives in a fast-paced environment has excellent communication skills and knows how to anticipate needs before they arise
What Youll Be Doing
As an Executive Assistant youll be the right hand to the COO helping manage priorities communication and logistics. Your responsibilities will include:
- Calendar Management Keep the COOs schedule running smoothly and conflict-free.
- Meeting Coordination Arrange and confirm internal and external meetings.
- Travel Management Organize travel arrangements (flights hotels) and prepare clear itineraries.
- Expense Management Track collect and submit receipts on time.
- Email & Communication Support Manage the COOs inbox and serve as the first point of response when needed.
- Document & Signature Handling Organize circulate and track key documents.
- Meeting Summaries Prepare concise weekly updates of key meetings.
- Quarterly & Team Coordination Support quarterly meetings with country leads.
- Lease & Landlord Liaison Monitor lease renewals and coordinate with landlords when needed.
- Special Touches Keep track of team birthdays and anniversaries to ensure celebrations never go unnoticed.
What Were Looking For
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- High level of professionalism discretion and attention to details.
- Experience supporting senior executives (preferred).Tech-savvy with tools like calendars expense management platforms and travel booking systems.
- Salary range for this role would be RM3000 to RM3300.
