We are seeking a Full-Time Administrative Assistant with an accounting background to support day-to-day operations financial tracking and documentation management for our new USCIS contract. This role provides critical administrative and financial support to program managers and leadership.
Responsibilities
- Provide general administrative support including scheduling correspondence and record-keeping.
- Assist the Finance & Accounting Manager with invoice preparation reconciliation and DCAA-compliant recordkeeping.
- Maintain accurate databases of personnel task orders and contract documentation.
- Support onboarding and clearance tracking by coordinating with HR and the Facility Security Officer.
- Prepare monthly and quarterly reports for management and the Contracting Officers Representative (COR).
- Assist with procurement tracking expense monitoring and budget reconciliation.
Qualifications
- Associates or Bachelors degree in Business Administration Accounting or related field.
- 2 years of administrative experience with exposure to accounting or finance functions.
- Knowledge of QuickBooks Online (QBO) Excel and federal invoicing practices preferred.
- Strong organizational and multitasking skills; detail-oriented.
- Excellent written and verbal communication skills.
- Ability to obtain and maintain a federal background clearance (Tier 3 or Tier 5).
- U.S. Citizenship or permanent residency required.
