Job Description

Position Title:

Assistant Director Graduate Admissions and Student Support

Time Type:

Full time

Position Summary and Qualifications:

The Assistant Director of Graduate Admissions and Student Support supports the full life-cycle of graduate admissions and recruitment for a portfolio of programs within the College of Arts and Sciences (CAS) School of Education and Human Development (SEHD) and the Philadelphia College of Pharmacy (PCP) including serving as a primary point of contact for prospective students and representing the university at graduate fairs and other virtual and in-person recruitment events. The incumbent will also support students from matriculation through to graduation by providing assistance with onboarding new student orientation academic advising course registration and other initiatives and activities that contribute toward the exceptional student experience.

Essential Duties and Responsibilities: (include but are not limited to)

  • Support the recruitment and admission process by providing outreach and responding to prospective student inquiries via phone email and text and accommodating campus visit requests.

  • Review applications and provide timely admissions decisions.

  • Work closely with graduate program directors to monitor on-campus student performance triage student concerns (academic and otherwise) and direct students to appropriate resources.

  • Support all conditionally admitted graduate students to ensure they meet program acceptance requirements.

  • Provide complete and accurate information about graduate degree admission procedures and academic requirements including important deadlines and other timely information to prospective students.

  • Serve as primary day-to-day contact for students within designated program portfolio and provide periodic check-ins by monitoring student success via Starfish.

  • Submit transfer credit requests at the approval of the Program Directors.

  • Assist with the New Student Onboarding process including the planning preparation and implementation of New Student Orientations each semester.

  • Onboard and assist newly admitted students with account set up and registration help while providing overview of program-specific resources and graduate policies.

  • Communicate regularly with students (via Canvas Starfish email phone) to ensure they are fully informed of academic scheduling and deadlines associated with their progress through the program and address questions from students related to registration and course withdrawal.

  • Update program advising sheets as needed.

  • Assist in managing the recruitment schedule.

  • Manage scholarship awards each semester in collaboration with the Director of Graduate Enrollment.

  • Attend graduate school fairs and other recruitment events both internal and external.

  • Support on-campus open houses and virtual information sessions for prospective students

  • Support outreach to SJU alumni undergraduates and other special populations and partners for the purposes of new student recruitment including 41 and direct admissions programs in conjunction with the Director of Graduate Enrollment.

  • Work directly with students in their final semester with regard to graduation and manage graduation approvals and commencement activities.

  • Collaborate with campus support offices including financial aid international student services and student accounts to provide accurate and timely information to prospective and incoming students.

Secondary Duties and Responsibilities:

  • Support and collaborate on special projects with team members from the Graduate and Extended Studies and other departments on campus including the Haub School of Business Office of International Students and Scholars Financial Aid Student Life and the Registrars Office.

  • Create bi-weekly graduate student newsletter to disseminate information from other academic departments and the Career Development Center on internships job opportunities conferences and events to support student career pathways.

  • Manage SJU social media accounts.

  • Serve on Slate Governance and other committees as needed.

  • Other duties as assigned.

Minimum Qualifications: (Education/Training and Experience)

Required:

  • Bachelors degree

  • Minimum of 3 years of experience in graduate admissions and/or student support

  • Excellent written and verbal communication skills

  • Demonstrated ability to quickly learn new systems and processes

  • Demonstrated success with providing exceptional high-level customer service

Preferred:

  • Masters Degree

  • Knowledge of software and tools including: Slate Starfish Banner and Cognos

  • Proficiency in all social media platforms (LinkedIn Facebook Twitter Instagram)

  • Ability to manage multiple tasks and set priorities to reach program goals

  • Demonstrated experience being adaptable patient and a self-starter

  • Some evening hours are necessary
