Personal Assistant III GJA 14

For ING Hubs and COO Retail we are looking for a Personal Assistant reporting into to the Global Head of Hubs & COO Retail.

Your role and work environment

The COO Hubs and COO Retail fall under the responsibility of one director on MBB-1 level. The organisations have a global footprint and the position is based in Amsterdam.

In this role you will support the Global Head of Hubs & COO Retail in the daily run of the business. You are in charge of the agenda administrative processes and events.

Tasks and responsibilities

Agenda: make sure the agenda is planned efficient and correctly.

Business Meetings/Events Arrangement: Schedule appointments make arrangements for meetings and conferences and organize travel plans following instructions to ensure more senior colleagues or a senior executive make best use of their time.

Data Management: Supports Global Head of Hubs and COO Retail with making overviews and schedules.

Administrative tasks: Takes care of the administrative handling of new staff/transfers/leavers planning-coaching assessing claiming expenses and the procure-2- pay process in accordance with existing compliance rules.

Manage inbox: manage inbox and prioritize topics that need follow up.

Aligns own work with relevant workgroups. Takes some steps to reduce bottlenecks and speed up the work.

For example readily involves others to accomplish goals; stays in touch and shares information; discourages us versus them thinking; shows appreciation for others ideas and input. Especially working together with Business Managers in the domain(s).

Communicates effectively: Develops and delivers multi-mode communications that convey a clear understanding of the unique needs of different audiences. For example listens attentively and takes an interest. Keeps others well informed; conveys information clearly concisely and professionally when speaking or writing.

Ensures Accountability: Holds self and others accountable to meet commitments. For example accepts responsibility for own work both successes and failures. Handles fair share and does not make excuses for problems. Usually meets commitments to others.

We are looking for:

An enthusiastic self starting and service minded colleague with experience in a comparable role. For this role you need to like in a job with -unexpected- changes and dynamics.

Proven track record and technical skills:

Minimal 3 -5 years of working experience as PA or secretary.

Skills in organizing coordination and planning.

Excellent level of English

Contract

For this role 40 hours is expected to be needed

GJA 14 (NL JG 8)
