This position is being filled through OUs PEAK Temporary Staffing Service.
Under direct supervision the Administrative Coordinator (LASI) provides support to the Latin America Sustainability Initiative (LASI) team. This positions responsibilities include but are not limited to coordinating and scheduling in-person and virtual meetings and appointments for the LASI staff preparing agendas and taking notes at meetings and archiving proceedings coordination of LASI activities with international partners assisting with institute events scheduling travel and filing travel claims assisting in preparation of reports and presentations ordering office supplies and answering phone and sorting mail.
Typical Functions May Include:
- Provides administrative support to the LASI Director and Managing Director keeps Directors calendars assists with LASI meetings and events. 25%
- Collects and disseminates information for internal and external customers. 5%
- Establishes and maintains filing systems including confidential documents. 10%
- Answers questions provides information and handles complaints for internal and external customers 5%
- Updates office procedures for a more efficient operation when necessary.5%
- Assists with LASI financial matters including purchases budget reconciliation budget preparation on projects. 10%
- Provides administrative support for LASI affiliated personnel including research fellows and visiting scholars. 10%
- Assists with arrangements for domestic and international travel for the LASI Directors and affiliated research groups. Will complete travel reimbursement in the Concur system upon completion of travel. 15%
- Assists in planning and execution of LASI activities and events at OU and with international partners. 15%

Required Education:High School Diploma or GED; AND:
Experience: 12 months of related experience
Skills:
- Proficient in Microsoft Office Zoom and other frequently used document sharing applications such as GOOGLE
- Detail oriented for accuracy of data and information
- Highly organized and able to handle multiple projects and deadlines
- Able to communicate clearly and effectively and build rapport quickly with students faculty and staff
- Able to produce reports and complete work within deadlines
- Strong initiative to solve problems
- Customer service
- Advanced office skills such as multi-line phone copying filing faxing and mail;
- Ability to work both independently and with interdepartmental teams on various initiatives
- Must have proficient professional writing skills for drafting correspondence summaries and other documents.
- Highly motivated

- Bachelors Degree
- Written and verbal Spanish language proficiency to converse with international partners in Larin America
- Previous OU experience with PeopleSoft Concur and travel arrangements.
