JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Coordinator supports the Chairman of the Department of Prosthodontics Director of Postgraduate Prosthodontics Program and the Associate Dean for Postgraduate Affairs within the College of Dentistry and Prosthodontics. This position works with a variety of faculty staff students postgraduate residents and contacts outside of the College of Dentistry to support the educational programs responsible for training dental professionals.
ResponsibilitiesDUTIES AND RESPONSIBILITIES:
- Provides logistical oversight of resident selection and matriculation for six postgraduate dental residency programs and monitors two Advanced Education in General Dentistry (AEGD) programs.
- Assists with application monitoring interview and acceptance process course registration and grade tracking for postgraduate programs/residents in the College of Dentistry.
- Manages official compilation and publication of the postgraduate dental curriculum (e.g. course description website listings and documentation changes) involving all postgraduate residency programs.
- Develops runs and monitors clinical treatment record quality assurance programs for all postgraduate residency programs and clinics.
- Serves as the primary contact between UT Health Science Center College of Dentistry and UT Health Science Center Graduate Health Sciences for all matters related to the Master of Dental Science.
- Develops agendas schedules meetings prepare documents and/or treatment records for review and record distribute and archive meeting minutes for the Advanced Dental Education Committee and the Postgraduate AxiUm Clinical Quality Assurance Program.
- Provides administrative support to include travel requests and reimbursement phone coverage mail distribution timesheet preparation and verification and maintenance of leave spreadsheet for the Department of Prosthodontics Chair.
- Assists with preparation of accreditation cycle manuals documentation of final grades for prosthodontic courses and distribution of weekly prosthodontic clinic/class schedule.
- Maintains all departmental faculty member records to employment including but not limited to licensing maintenance and requirements curriculum vitae and yearly evaluations.
- Assists faculty members in the completion of required online certifications and administrative requests; edits and proofreads and updates and/or uploads course outlines and other documents on Blackboard.
- Manages new resident check-in procedures in the Department of Prosthodontics College of Dentistry College of Graduate Health Sciences and the University.
- Performs other duties as assigned.
QualificationsMINIMUM REQUIREMENTS:
EDUCATION:High School Diploma or GED. (Bachelors Degree preferred.)(TRANSCRIPT REQUIRED)
EXPERIENCE: Five (5) years of administrative experience; ORBachelors Degree and one (1) year of administrative experience. (Progressive administrative advancement is preferred.)
KNOWLEDGE SKILLS AND ABILITIES:
- Ability to coordinate schedules and projects.
- Computer experience including MS Word Excel PowerPoint Banner Blackboard Adobe and format conversion for text documents.
- Ability to work independently and make independent decisions.
- Excellent verbal and written communication skills to interact with a diverse population.
- Ability to prioritize and manage a busy office environment.
- Ability to supervise and direct staff members.
