We are currently accepting applications for School Support Assistant. Under the supervision of the Manager of Accounting Services the School Support Assistant maintains trust fund records reviews and verifies school tax rebates provides school banking and school generated funds support and issues charitable receipts. The incumbent also assists with the development and delivery of business training to Board staff. The School Support Assistant is focused on providing customer service to schools and Board office staff.

Joining the UCDSB in an occasional capacity is a great way to gain experience for those looking to obtain a long-term occasional or permanent position with Upper Canada DSB.

Hours of Work: 8:30 - 4:00 pm Monday - Friday

Qualifications and Experience:

  • The successful completion of a two year community college diploma in Finance/Accounting.
  • A minimum of two years of relevant work experience preferably in a computerized financial environment. An equivalent combination of education and experience may be considered.
  • Ability to travel to other locations/worksites sometimes at short notice is required.

  • Good organizational skills are required in order to coordinate various tasks and meet frequent deadlines
  • Ability to train and coach others is essen t ial.
  • Strong interpersonal skills are required.
  • Demonstrates initiative and works well independently or as a team member.
  • Demonstrated knowledge of accounting theory and concepts
  • Intermediate/advanced knowledge of spreadsheet and word processing application software
  • Ability to learn the Boards accounting/financial software
  • Possesses good data entry skills is attentive to detail and is able to work to deadlines and objectives
  • Proven problem solving capabilities and strong analytical abilities
  • Demonstrated good communication skills oral and written
  • Demonstrated ability to respect the confidentiality of information practices tact and diplomacy

Duties & Responsibilities:


  • Recommends developmental needs for self
  • Adheres to all manual and computerized internal financial controls and identifies the need for new or improved financial controls
  • Ensures that the School Support Assistant job procedures are current and documented
  • Participates in objective-setting for the Finance Department and the Boards Performance Appraisal and Career Development process
  • Performs G/l account reconciliations codes invoices and the monthly management report for Champions for kids
  • Internal Audit regarding systems and procedures
  • Identifies and recommends improvements to the Manager of School Support &
  • Participates in the accurate compilation of financial information for School Generated Funds to the completion of the annual Financial Statements
  • Assists with the development of training plans trains and provides support to Board and school staff for business procedures including School Generated Funds
  • Prepares bursary recipient file for T4A purposes and forwards to payroll
  • Maintains trust fund records coordinates and prepares disbursements of scholarships and reconciles trust fund accounts on a monthly basis
  • Interprets federal governments Charity Policy reviews requests for receipts and issues same when allowed
  • Prepares tax rebates for schools and submits to Accounts Payable for processing
  • Assists with the performance of school internal audits/reviews
  • Tests School Banking software upgrades updates and fixes
  • Administers School Banking software by configuring updating providing end user support and liaising with software vendor when necessary. Develops and maintains system procedures to ensure appropriate financial processes and controls are in place
  • Supports the Finance department during the budget process by providing input assisting schools with their budget allocations and providing administrative support
  • First line of assistance for schools with accounting matters i.e. analysis of management reports questions regarding account codes accounting procedures; focuses on providing customer service to Board and school staff
