This role is based in Taree.

About the Role:

The Roster and Administration Coordinator is responsible for the management and coordination of client rostering services for home care support worker staff. The Coordinator will ensure shifts are filled and staff levels are maintained and optimised to enable client directed care services to be delivered effectively to Biripi Aged Care Clients. The Roster and Administration Coordinator is also responsible for the operational management of Aged Care Support staff.

The key objectives of the role include:

  • Responsible for the day to day management of Support staff addressing concerns of performance in consultation with aged care manager.
  • Coordinate the scheduling and rostering of support workers to ensure seamless service delivery.
  • Create an effective scheduling and rostering service to align Support Worker rosters efficiently to meet client requirements.
  • Plan forecast and manage workforce planning requirements including roster changes leave and absence planning to ensure effective coverage of all shifts to client needs and service delivery targets.
  • Communicate rosters and roster changes to relevant staff.
  • Ensuring clear communication of shift expectations and escalation procedures.
  • Sourcing replacements for all unplanned leave shifts ensuring all shifts are filled with suitable employees.
  • Monitor hours worked by support workers to ensure they are working within the scope of industrial relations obligations and their contracted hours.
  • Manage prepare and distribute all employee rosters within the required time frames.
  • Responsible for new employee on boarding rostering to ensure adequate buddy shifts and support for new staff.
  • Work in collaboration with the aged care team and aged care manager to identify rostering solutions for identified service gaps and identify scheduling issues review the list of unallocated shifts to be filled on a daily basis and proactively find solutions within the team and manage communications of roster changes to relevant staff.
  • Work in collaboration with the home care coordinators to roster new clients as required.
  • Ensure rosters are prepared and available prior to the roster commencement date.

Essential Criteria:

  • Certificate IV in Business or equivalent.
  • Experience in an Aged Care environment.
  • Demonstrated experience in an administrative role.
  • Experience with a computerised rostering system
  • Previous experience in rostering or scheduling.
  • Experience managing and leading people with the ability to handle difficult conversations and resolve conflict effectively.
  • Ability to communicate with influence and work collaboratively to resolve issues.
  • Effective written and verbal communication skills.
  • Good interpersonal skills including the ability to demonstrate empathy when required.
  • High level problem solving skills including conflict resolution.
  • Strong understanding of the aged care sector funding guidelines and Home Care packages.
  • Demonstrated ability to work independently and proactively manage workload.
  • Ability to think on your feet and problem-solve in a calm professional manner.
  • Demonstrated knowledge and experience in administration processes and functions.
  • Strong time management skills and attention to detail.
  • Ability to maintain privacy and confidentiality.
  • Ability to hold all relevant security clearances including the National Police Check and Working with Children clearances
  • Current valid Drivers Licence
