Job Description Summary
The Associate Director Programs and Curriculum plays a senior leadership role in the Faculty of Management overseeing the design delivery evaluation and continuous improvement of academic program operations and student success initiatives.
The Associate Director provides leadership and strategic direction for the Student Success Office of the UBC Faculty of Management. This position is responsible for the strategic direction coordination and management of student services and academic programming for undergraduate graduate and non-degree programs within the Faculty. This position is responsible for the development of a strategic model to support students and oversees the development implementation delivery and assessment of comprehensive student services including student management and advising recruitment and admissions processes awards promotion of academic success and other student services. The Associate Director provides leadership to a team of administrative and student support staff ensuring the effective implementation of systems policies and initiatives that support student recruitment admissions registration academic progress awards retention and graduation.
Reporting to the Associate Dean Teaching and Learning the Associate Director ensures that Faculty programming aligns with institutional priorities academic quality standards and the student experience goals of the Faculty and UBC. This role collaborates closely with faculty members campus partners and external stakeholders to advance the academic mission of the Faculty and to support its growth through innovative student-centered programming. The Associate Director represents the Faculty of Management on a number of university projects and committees to enhance student experiences and may serve as a delegate for the Associate Dean Teaching and Learning and the Associate Dean Professional Graduate Programs on relevant university and community committees.
Organizational Status
This position reports directly to the Associate Dean Teaching and Learning and provides leadership and supervision to staff within the Student Success Office. It serves as a central point of contact for academic programs and student services within the Faculty and acts as a liaison with central university offices and external partners.
Work Performed
Leadership
- In consultation with the Associate Dean Teaching and Learning develops and implements a strategic plan to provide leadership and direction to the operation and management of the Student Success Office in order to provide effective high-quality service to students and the Faculty while supporting staff engagement productivity and development.
- Leads the planning development and continuous evaluation of academic programs ensuring alignment with the Facultys strategic priorities and institutional goals.
- Develops and oversees policies systems and structures to support high-quality student-centered programming with a focus on access equity and innovation.
- Provides functional advice to Associate Deans regarding policy decisions within the Faculty.
- Directs the admissions process for the undergraduate graduate and non-academic programs in the Faculty.
- Leads staff responsible for accreditation review and supports the implementation of academic changes including new course and program development in partnership with academic leadership and faculty.
- Oversees the execution of academic policy and ensures compliance with UBC Senate Faculty and administrative regulations.
- Develops policies systems and organizational practices to support exceptional curriculum development and academic program management.
- Provides subject matter expertise on curriculum policies and procedures and provides assistance in execution of same to faculty and to the Dean or Deans delegate.

- Negotiates relationships with colleagues stakeholders and experts across many sectors and represents the Faculty and University on regional national and international committees to ensure the FoM continues to be innovative and effective in its offerings.

Curriculum & Academic Programs
- Leads course and program development in consultation with internal and external stakeholders by undertaking projects from initial concept stage to completion. This may include research defining project deliverables timelines resources documentation strategy budgeting as well as ensuring compliance with University policy and government regulations.
- Leads the development design and implementation of degrees programs minors and certificates through collaboration with other Faculties/Institutions.
- Manages the work with the Faculty Curriculum Committees at the graduate and undergraduate levels.
- Leads curriculum mapping and program redesign in alignment with FoM and UBC policy to ensure the latest developments and trends in curriculum and program design and delivery are addressed.
- Advises and supports Faculty in addressing issues identified by self studies and/or external reviews in pursuit of continuous improvement.
- Manages large repositories of curricular materials.
- Maintains proficiency with recent trends in teaching and learning strategies and curriculum development nationally and internationally including inclusive and equitable pedagogies learner-centered approaches in teaching integrating Open Education Resources Experiential Learning Universal Design for Learning Internationalization and Indigenization.
- Designs consults and collaborates on scholarship of teaching and learning efforts.
Student Services and Advising
- Develops implements evaluates and oversees a comprehensive strategy for delivering high-quality student services to students and faculty and administrative staff that is student-focused and integrated with services provided by UBC.
- Responsible for overseeing the full student life cycle from recruitment to graduation including admissions scholarships and awards academic progression and appeals.
- Ensures integration of academic advising and student engagement activities to foster a holistic student experience.
- Leads the development execution and delivery of admissions and prospective student programs and services.
- Leads the operational delivery of academic programs including managing registration scheduling course delivery logistics and academic advising frameworks.
- Provides leadership in ensuring smooth program operations through systems and process development team coordination and cross-functional collaboration.
- Develops and monitors quality assurance processes including data collection and reporting program evaluation and accreditation preparation.
- Acts as a key contact for resolving complex student issues academic disputes or appeals in collaboration with appropriate governance structures managing highly sensitive and confidential student issues
- Triages/escalates student conduct issues
- Leads staff responsible for advising undergraduate students on all aspects of student services
Recruitment and Enrolment Management
- Advises the Manager Student Success and Engagement to set annual enrolment targets and recruitment strategies.
- Collaborates with central recruitment and admissions units to ensure accurate representation of Faculty programs and timely processing of applications.
- Develops policies and procedures to ensure an equitable and transparent admissions process.
- Provides strategic leadership and supervision to staff in the Student Success Office including hiring performance management training and professional development.
- Develops and manages operating budgets for recruitment events and student success initiatives in coordination with Faculty finance staff.
- Supports a culture of collaboration high performance accountability and continuous improvement within the team.
Student and Stakeholder Engagement
- Provides leadership and direction for all student communications within FOM
- Acts as a key liaison between the Faculty and central units such as Enrolment Services College of Graduate Studies Advising and International Student Initiative.
- Represents the Faculty on university-wide committees related to student affairs curriculum academic services and student experience.
- Fosters external partnerships and alumni engagement opportunities that enhance student learning mentorship and community involvement.
- Special Projects and Institutional Initiatives Leads and/or contributes to institutional projects and strategic initiatives related to academic planning equity and inclusion Indigenous engagement or digital transformation of student services.
- Provides advice and consultation to Faculty leadership on trends in higher education policy implications and program development opportunities.
Consequence of Error / Impact of Decisions
This is a senior staff position within the Faculty of Management. The success of the Faculty programs depends on a successful Student Services unit. Decisions directly affect the operation of the Student Services unit and impact the quality and outcomes of the Faculty of Management undergraduate graduate and non-credit student experience. Incorrect advice to students could impede academic progress prevent students from graduating prevent qualified applicants from being accepted and result in students taking longer to complete the undergraduate and graduate programs and could lead to legal liability. Failure to achieve enrolment targets could have a significant negative impact on the financial well-being of the Faculty. The incumbent exercises considerable judgment and must demonstrate tact and discretion. Consequence of error is high and poor judgment and/or lack of cross-cultural and complex mental health sensitivities could compromise student health and well-being the integrity of the Faculty of Management programs and the reputation of the Faculty.
Supervision Received
Works independently with broad direction from the Associate Dean Teaching and Learning. Performance is reviewed based on achievement of strategic goals and leadership effectiveness.
Supervision Given
Provides leadership and supervision to managers and staff in the Student Success Office. Oversees recruitment performance and professional development for administrative staff supporting academic programs.
Minimum Qualifications
- Undergraduate degree in a relevant field or a combination of education and experience
- Minimum of four to five years of progressively responsible experience in academic program management or student services within a post-secondary institution.

- Knowledge of University policies and procedures related to academic advising and student management.
