Job Description:
POSITION PURPOSE SUMMARY:
To be the first point of contact for people coming into or calling the West Campus.
ACCOUNTABILITIES:
Administrative
Performs general office duties such as answers telephone and directs and/or responds to inquires; greets visitors and directs them to the appropriate person(s); files documents electronically or manually.
Takes calls/inquiries about bookings for rental groups
Sets up client appointments and registers clients for classes and special events
Prepares routine documentation such as forms letters memo email and may keep records; checks typing for accuracy sorts and prioritizes typing assignments within general guidelines.
Assists in maintaining adequate office and other supplies.
Provides administrative and/or special project support as assigned.
Prepares and receives all paperwork for various projects and processes.
Keeps the reception area clean and organize.
Manages rental groups who are on site ensuring safety protocols are always followed.
Attends staff meetings.
Reviews information and client forms to ensure correct information and relevance.
May support the Program Coordinator with opening mail and processing out-going mail; receives parcel(s) and distributes to the appropriate person(s).
Responsible for ensuring communication collateral is posted at appropriate spots like bulletin boards TV screen and replenish program brochures.
Conducts copier room inventory check.
May draft and prepare presentations (including PowerPoint invitations certificates.)
WORKING CONDITIONS:
This is a casual/on call position. Please note there is no guarantee of hours either per shift or per month as hours of work are variable.
Working environment is in a community facility behind a receptionist desk. The incumbent works in generally agreeable conditions such as those found inside offices or equivalent work areas.
May be faced with dealing with aggressive and/or disruptive clients or visitors.
EDUCATION AND EXPERIENCE QUALIFICATIONS:
Completed high school or has equivalent experience.
Police Information Check with Vulnerable Sector Search.
Child Intervention Check.
Emergency First Aid certification with Level C CPR from an Alberta approved training provider.
Experience and Skilled Knowledge Requirements
Up to one year of related experience.
Skills and Capabilities:
Excellent communication skills (verbal/written) and strong customer service skills.
Proficient in MSOffice 365 (Excel TEAMS Word).
Able to control emotions and display a patient calm and collected demeanor.

Compensation:
The target hiring range for this position is $16.50 to $20.62 with a maximum of $24.74.Placement in the salary range will be based on factors such as market conditions internal equity and candidate experience skills and qualifications relevant to the role.
