Job Description

About the Role:

Join our team as a Temporary Records Management Specialist where youll play a key role in managing account and asset records for Baird Trust. This position involves overseeing both physical and electronic files ensuring compliance with document retention policies and supporting various operational functions including check processing and client communications.

This position requires working Monday Friday in our downtown Louisville office. This offers the opportunity to collaborate closely with team members and clients.

The Impact Youll Make:

  • Maintain physical and electronic account files for Baird Trust clients.

  • Manage off-site storage of original legal documents and microfiche.

  • Oversee document retention and destruction in accordance with Baird Trust policies.

  • Maintain electronic records for unique assets held in client accounts.

  • Lead special projects related to document retention and archive management.

  • Develop and implement organized systems for updating and maintaining records.

  • Support Estate Planning with Future Fee documentation and off-site storage.

  • Log and track incoming checks; follow up to ensure timely deposits.

  • Print and process client checks trade advices and deposit advices.

  • Oversee bill payment processing and vendor invoice reconciliation.

  • Process requests for client and associate online access setup and maintenance.
  • Receive sort and distribute incoming mail.

  • Collaborate with Operations leadership to identify and implement process improvements.

  • Provide cross-training and support to Trust Associates.

  • Participate in special projects and assist with other duties as assigned.

What Youll Bring:

  • Assignment Duration:12 months

  • Proficiency in Microsoft Office Suite (Excel Word Outlook PowerPoint Access).

  • Strong organizational skills with experience in managing files and records.

  • Advanced analytical and problem-solving abilities.

  • Ability to manage multiple tasks under pressure and meet deadlines.

  • Excellent communication skills and attention to detail.

  • Self-motivated with a desire to learn and contribute creatively.

  • Broad understanding of operational procedures and systems.
