We are currently looking for a structured professional and service-minded Executive Assistant to support one of our Partners based in our newly established Zrich location.
The role
CIP is continuing our growth journey and now adding Zrich to our world map. We are currently establishing a dedicated workspace centrally located in Zrich where the team will be working from. We are therefore looking to recruit a structured professional and service-minded Executive Assistant.
As an Executive Assistant in CIP you will have a central confidential and coordinating role in the organization. Your main responsibility will be to organize and coordinate on behalf of the Partner & Global Head of Private Wealth including misc. office administration and procedures on a day-to-day basis to ensure smooth workflows and support the growing onsite team in Zrich. Also you will assist with certain client management tasks in terms of scheduling visits follow-ups organizing occasional client events in and around Zurich and account planning (creating and maintaining information about key persons at each client their responsibilities and their reporting lines). From time to time you may be asked to take minutes and actions on internal planning meetings.
You will get the benefit of being part of a team of Assistants across CIP globally who support different Partners across the organization and with whom you can enjoy a (online) working community and professional sparring.
This position offers significant responsibility and numerous opportunities positioning you as a key resource for both the Partner and the broader team.
You will get a responsible job with lots of challenges and you will be the go-to-person for office administration.
Further responsibilities will consist of but are not limited to:
Providing personal assistance and executive support to the Partner in a fast-paced and ever-changing environment
Proactively organizing and maintaining the calendar ensuring alignment in daily schedule and keeping calendar up-to date
Travel management (itineraries hotels transport and other practicalities incl. visa applications etc.)
Providing broad pro-active administrative support e.g. scheduling meetings and leveraging the Partners time effectively making judgement calls in a highly professional and diplomatic way
Various administrative duties in support of the day-to-day operations
Providing personal assistance and support
Processing invoices expenses and documents
Facility management tasks ensuring that the office looks great and runs smoothly
Ensuring office efficiency is maintained in collaboration with the global Office Management team based in Copenhagen
Organizing investor team and office events
Assisting with onboarding new hires
You
We expect that you have a relevant bachelors degree and 5-7 years of work experience from a position as a Personal Assistant or Executive Assistant in a consulting firm law firm investment bank or large international company. You are a resilient service-minded and enthusiastic person who can navigate at an executive level and has a high degree of discretion and confidentiality.
The ideal candidate has:
Solid knowledge of Office 365 applications
Ability to drive administrative processes and projects efficiently and independently
Excellent time management skills and ability to multi-task in a fast-paced environment across a wide range of work streams/projects with constantly shifting priorities
Thorough approach with a high attention to detail and accuracy particularly when in a time-sensitive setting
Ability to use own initiative and prioritize tasks
Excellent interpersonal and communication skills
Professional demeanor and good work ethic
