Description

Position Summary:

The Administrative Assistant provides direct support to the Director of Operations the President and the CEO of the company. This role requires exceptional communication skills discretion and the ability to manage a wide range of administrative and executive support addition to traditional administrative duties this position will also be responsible for performing certain bookkeeping tasks to support the financial operations of the company.


Duties and Responsibilities

Answers the primary phone line and serves as a back-up for other lines.

Welcomes visitors directs them and escorts them to the appropriate internal party.

Orders office supplies for the North Carolina location.

Makes cash deposits and oversee and reconcile petty cash.

Coordinates logistics for meetings events and company functions

Assists President and the CEO with scheduling certain meetings

Coordinates travel arrangements for certain departmental events.

Prepares and edits correspondence reports presentations and other documents.

Prepare documents and take notes at quarterly management meetings.

Other duties and projects as assigned by the Director of Operations President or CEO.

Requirements

Skills and Qualifications

Previous experience supporting high level management executives or professionals.

Must exercise discretion and maintain confidentiality of business matters.

Acute attention to detail with the ability to manage/maintain multiple projects simultaneously.

Able to prioritize workload with minimal guidance.

Experience with QuickBooks or other accounting software.

Strong computer skills including MS suite of products.

Superb written and verbal communication skills.

A demonstrated ability for planning and organization skills handling multiple tasks and working in a fast-paced environment

Team-oriented.

Willingness to work overtime to troubleshoot critical issues when needed.


Physical Requirements

Must be able to lift 20 pounds.

Must be able to sit for prolonged periods of time working at a computer
