Job Description

Ipswich Girls Grammar School including Ipswich Junior Grammar School offers high quality non-denominational education to students from Kindy to Year 12 (co-education from Kindy to Year 6 girls only Years 7-12). Established in 1892 the School is one of eight original Grammar Schools in Queensland. The School aims to educate students to become confident well-educated young women girls and boys and we pride ourselves on providing a personalised holistic education with a focus on academic excellence.

THE OPPORTUNITY

A short 30-minute drive from Brisbane the Schools heritage-listed campus is conveniently located in the middle of Ipswich. We offer the opportunities of a large city with the quiet feel of a smaller town.

We have a fantastic opportunity for an experienced and energetic administrator to support the requirements and function of the Schools Chief Financial Officer (CFO) who also serves as the Secretary to the Board of this role you will be a key member of the secretariat and governance function supporting the CFO in managing and supporting the Board of Trustees.

This is a busy role where you will carry out a wide range of secretarial and clerical duties; prepare and complete board papers for monthly meetings minute taking and preparation of associated action lists reports agendas and other documentation for Board of Trustees and Sub-Committees; administer the cyclical Board reconstitution process; provide administrative support to the CFO; and arrange appointments and diaries and prepare confidential and general correspondence.

With the diverse needs of the Board this role requires a willingness to be flexible with time and task variety the ability to prioritise work efficiently and the ability to work with discretion and confidentiality. A key to your success will be your ability to manage a dynamic environment with multiple stakeholders.

This is a flexible part-time role (37.5 hrs per fortnight) where days and hours are not strictly set to ensure that work hours can be flexible to suit the requirements of the position. It is a requirement of the position to be present for the School for Board and Committee meetings.

This role will ideally suit someone who has strong administrative support experience works well with variety of different stakeholders and has the flexibility to work outside of normal corporate/school hours as all the Board meetings are undertaken after 5.00pm.

WHAT YOU WILL BRING

To be successful in this role it is envisaged that you will be highly organised with a positive can do attitude as well as:

  • Demonstrated previous experience working in a role where you provided administrative support to middle management or executive managers with Board type experience being highly regarded.
  • High level oral and written skills with highly effective verbal and listening communication skills.
  • Experience collating Board and Committee Papers or similar (e.g. executive reports etc.).
  • Experience preparing meeting agendas and taking minutes.
  • An understanding of governance and board procedures and the ability to work outside of core business hours as required to support the Board of Trustee meetings and requirements.
  • Excellent time management skills and the ability to manage competing priorities in a dynamic environment.
  • Strong understanding and application of the Microsoft Office suite of software products including word excel power point teams outlook and learning management systems.
  • Excellent interpersonal and organisational skills
  • High level of personal integrity professionalism discretion confidentiality and initiative
  • Proven ability acting in a liaison role between multiple stakeholders where discretion and judgement are required in relation to planning actions and achieving outcomes.
  • Be the holder of or can obtain a Working with Children Suitability Card (Blue Card).
