Role description:

Arcadis is seeking a highly skilled and motivated Office Coordinatorto support one of the most iconic and consequential infrastructure initiatives in the United States the Gateway Hudson Tunnel Project (HTP).

We are working in partnership with Parsons and Mace as part of the MPA Delivery Partner team selected by the Gateway Development Commission to deliver this transformative project. The HTP is a critical component of the broader Gateway Program one of the most ambitious and impactful transportation initiatives in the nation and is designed to strengthen mobility enhance resiliency and ensure the long-term reliability of the Northeast Corridor.

The project encompasses the construction of a new two-track rail tunnel beneath the Hudson River along with the full rehabilitation of the existing 113-year-old North River Tunnel. This vital infrastructure supports more than 200000 daily passengers via Amtrak and NJ TRANSIT and serves as a backbone for economic activity and connectivity between New York and New Jersey.

Role Accountabilities:

  • Oversee daily operations at all GDC workspaces including supply inventory management coordination with purchasing staff for restocking and obtaining supervisory approval for orders. Conduct weekly office audits in both NY and NJ to ensure supplies are stocked maintenance and IT issues are addressed and workspaces remain productive and organized.
  • Manage phones mail distribution and general office resources to ensure timely routing of communications and materials. Provide front desk and reception coverage in the absence of executive assistants as needed.
  • Coordinate building and floor access by managing badge issuance for employees and visitors and maintain accurate data on badge usage and office occupancy. Collaborate with safety and security teams to ensure proper facility access for staff vendors and consultants.
  • Maintain the functionality of office equipment such as copiers printers shredders and other tools while logging and resolving maintenance requests across the organization. Support administration of the fleet management plan.
  • Assist the Manager of Workplace Experience (MWE) in overseeing vendor relationships including contracts with landlords cleaning services caterers and maintenance providers. Manage invoice processing for all facility-related expenses such as leasing repairs and temporary space rentals.
  • Coordinate office moves and renovations to minimize disruptions manage seating charts and assign workspaces for new hires and departing staff. Optimize space utilization to support various work styles including collaborative quiet and relaxation zones.
  • Support safety compliance by developing and maintaining emergency preparedness plans (fire safety evacuation active shooter protocols) conducting regular drills and coordinating fire warden and searcher teams.
  • Oversee internal communications tools such as signage wayfinding systems and space reservation tools to ensure smooth and efficient workplace navigation.
  • Perform other related duties as assigned to support workplace operations and employee experience.

Required Qualifications:

  • Bachelors degree in Business Administration Office Coordinator or related field preferred.
  • Minimum 5 years experience in a complex or project-driven environment.

Key Skills and Abilities:

  • Excellent organizational and multitasking skills.
  • Strong interpersonal and communication abilities.
  • Proficient in MS Office Suite office management software and document control systems.
  • Familiarity with project management tools and processes is an advantage.
  • Ability to work under pressure and meet deadlines in a dynamic environment.

Preferred Qualifications:

  • Experience working in a large-scale project office (engineering construction infrastructure).

Actual salaries will vary and are based on several factors such as experience education budget internal equity project and location.
