Keep the General Counsels time organized and visible helping make the most efficient every day. By staying on top of communication coordination planning and team connection the role supports our President & Co-Founder Daniel Vallejo in focusing the energy on his priorities on what matters most and staying productive.
Calendar Management
Ensure accurate and up-to-date calendar management that reflects 100% of the Co-Founder time allocation including work commitments personal time travel schedules and transitions. The calendar should provide full visibility and enable proactive planning and prioritization.
Strategic Email Oversight and Prioritization
Administer the Co-Founder inbox in alignment with priorities agreed upon with him. Ensure timely and effective responses flagging key matters and filtering communications to enable the Co-Founder to focus on high-impact areas.
Coordination of High-Priority Engagements
Proactively coordinate and confirm participation in meetings events and engagements as prioritized by the Co-Founder. Ensure alignment with strategic objectives and manage scheduling conflicts in collaboration with key stakeholders.
End-to-End Travel and Logistics Support
Provide full logistical support for both domestic and international travel. This includes itinerary planning booking coordination with external and internal parties and ensuring the Co-Founder has everything needed throughout the trip.
Proven Experience as EA or Administrative Assistant for Executives
0-3 years of experience providing high-level administrative support to C-level executives preferably within a fast-growing technology or finance environment.
Proven ability to manage complex calendars coordinate international travel and handle sensitive information with discretion.
Proficiency in using various productivity and communication tools (e.g. Google Workspace Microsoft Office Asana Notion).
Experience in preparing presentations reports and other executive-level communications.
Exceptional Organizational Skills & Attention to Detail
Meticulously manages schedules documents and logistics with a high degree of accuracy ensuring nothing falls through the cracks and contributing to the Co-Founders preparedness.
Demonstrated by flawlessly coordinating complex meetings with multiple stakeholders and maintaining organized records of critical information.
Proactive Problem-Solving & Initiative Skills
Anticipates the Co-Founders needs identifies potential challenges and takes initiative to find solutions before being asked enhancing the Co-Founders efficiency.
Evidenced by independently resolving scheduling conflicts or proactively preparing necessary materials for upcoming meetings.
Excellent Communication & Interpersonal Skills:
Communicates clearly professionally and diplomatically in English and Spanish with individuals at all levels both internally and externally representing the Co-Founder and Addi effectively
Discretion & Confidentiality:
Handles sensitive information with the utmost integrity and maintains strict confidentiality regarding company matters building trust and ensuring the security of critical data.
Evidenced by consistently handling confidential documents and conversations with professionalism and discretion.
Adaptability & Resilience:
Remains flexible and composed adjusting to changing priorities and effectively managing unexpected situations ensuring the Co-Founders operations remain smooth.
Demonstrated by seamlessly adapting to last-minute schedule changes or urgent requests while maintaining a positive and efficient approach.

A more in-depth conversation with our Co-Founder- Daniel Vallejo where we explore your skills experience executive assistant background and who you have worked with. We want to understand how you think and work.
Step 3: Business Case (60 min)
You may receive a challenge or case study to complete. This is a chance to showcase your expertise and how you approach key problems relevant to the role.
