Job Summary
The Manager Residence Education (MRE) supports over 260 Residence Advisors and more than 80 Residence Hall Association (RHA) student leaders annually delivering comprehensive orientation and leadership development programs which contribute to a positive and inclusive residence experience for thousands of students each year.
The MRE manages the Program Resource Centre; provides leadership by way of the development implementation and evaluation of Residence Advisor (RA) pre-onboarding onboarding and position education; oversees the organization and planning of various student and staff development initiatives; and advises the Residence Hall Association (RHA) and National Residence Hall Honorary (NRHH).
The MRE supervises and provides direction to one (1) Program Resource Centre Advisor and one (1) Program Resource Coordinator in addition to Work Learn student particular the MRE supports student success by independently managing initiatives that enhance the Residence Life program and by fostering healthy and engaged residence communities.
At all times the MRE upholds and seeks to achieve the Residence Life mission vision and values. The MRE role models an efficient results-oriented critical-thinking perspective. The MRE embraces opportunities for self-improvement responds objectively to criticism and manages ambiguity with patience.
The MRE is required to be available by phone after typical work hours as part of a monthly on call rotation shared with other managers assisting with the operation of 10 front desks located in the residence commonsblocks.
The work environment is complex and requires managing multiple sometimes simultaneous deadlines. The MRE must balance a range of tasks and responsibilities many of which are very different in nature or function. Due to the nature of the Residence Life operations some early morning late evening overnight weekend and holiday work is required.
Organizational Status
The MRE reports to the Associate Director Residence Strategic Initiatives and Staff Development.
The MRE provides supervision and direction to a team of one (1) Program Resource Centre Advisor one (1) Program Resource Centre Coordinator and one to three (1 to 3) Work Learn student positions. The MRE advises (5) RHA Executive positions and provides training mentorship and guidance to the members.
As the lead for many large-scale projects and initiatives the MRE works with and provides direction as appropriate to a range of Student Housing colleagues in particular Residence Life Managers and other administrative staff.
Work Performed
Residence Advisor Selection and Onboarding
- Acts as an administrative lead for the cyclical appointment of 250 Residence Advisors and Senior Residence Advisors.
- Works collaboratively with Human Resources and Marketing and Communications to ensure that the appointment of Residence Life staff positions meet the Universitys expectations and that assets utilized in marketing for the positions attract a large and diverse pool of qualified candidates.
- Researches and implements practices to attract and select Residence Life staff that maximize intersection and identity to ensure that the Department reflects the student population living in residence.
- Leads the preparation and implementation of RA selection letters and the management of documentation required for the appointment of staff in Workday. Ensures that the collection and storage of personal private information is compliant with FIPPA and the Universitys file storage and retention policies and procedures.
- Plans and oversees all administrative functions related to the pre-onboarding and onboarding of Residence Advisors and Senior Residence Advisors including but not limited to: developing and updating web-based content overseeing the coordination of RA selection scheduling and administration of various meetings and revision of numerous digital and print materials.
Residence Advisor Orientation
- Oversees the implementation of Residence Advisor Orientation a two-week long comprehensive job readiness program for Residence Advisors and Senior Residence Advisors.
- Works collaboratively with various Student Housing and University colleagues including: the Centre for Student Development and Leadership and Careers the Sexual Violence and Prevention Response Office the UBC Wellness Centre the Counsellors in Residence and Food Services.
- Provides leadership to the Education Team by working collaboratively with Residence Life Managers to review and implement new Residence Advisor Orientation sessions. This includes an annual review of the Residence Advisor Orientation curriculum to ensure that it continues to reflect the program goals of Advisor Orientation as directed by the Senior Managers on the Student Residence team.
- Investigates and utilizes numerous instructional and evaluation frameworks to ensure that instructional pedagogies of the Residence Life Management Team are current reliable and appropriately reflect the audience and intended outcomes of job training.
- Oversees various other Residence Life education needs such as mid-year position orientation for newly appointed staff. This includes the cyclical development of biweekly team meeting content.
- Develops and implements tools to evaluate the effectiveness of Residence Education initiatives and suggest improvements to Advisor Orientation Advisor Development Programs and PRC offerings based on Advisor feedback.
Student and Staff On-going Development Initiatives
- Researches opportunities for RA development by reviewing relevant and upcoming professional conferences; on campus and off campus speakers and trainers; webinars; and other resources for recommendation.
- Researches and organizes appropriate media and literature for distribution to the Residence Life Management Team as professional development.
- Leads the annual review development and coordination of in-service learning and development initiatives for student residence staff.
- Ensures that educational initiatives reflect student development theory and other critical theories in the interest of enhancing the residence experience through best practices that meet the evolving needs students.
Program Resource Centre Management
- Provides leadership to one (1) Program Resource Centre Advisor and one (1) Program Resource Centre Coordinator responsible for the effective delivery of services provided by the Program Resource Centre (PRC) for 260 Residence Advisors and 89 Residence Hall Association members.
- Oversees inventory management and reconciles the budget of the Program Resource Centre which includes the oversight of timely and accurate procurement of residence opening supplies and deliverables in collaboration with the Manager Residence Transition and Community Engagement.
- Ensures that the Program Resource Centre meets the aims of the Residence Life Program by implementing systems for equipment rental and disbursement of materials in addition to providing creative and innovative approaches to supporting the initiatives and educational resources prepared by Residence Advisors.
- Envisions and implements initiatives with the support of the Program Resource Centre Advisors to ensure that the PRC provides excellent coaching to Residence Advisors and Residence Hall Association addition advances the strategic aims of the PRC by researching new and innovative ways to build and enrich residence communities and establishing the PRC as a desired space for peer-to-peer coaching and residence event development.
Student Leadership Advising
- Represents Student Housing and Community Services by way of advising the Residence Hall Association (RHA) on their operations administration and activities. The MRE achieves this by providing the RHA sound advice regarding their aims to represent student needs in residence through ongoing programming and various advocacy addition by providing leadership to all of the RHAs members including: 5 Executive members 9 residence area council presidents and approximately 75 other members at large.
- Conducts weekly one on one meetings with the RHA President and as necessary with other members of the RHA Executive Cabinet.
- Attends biweekly RHA cabinet meetings to advise the RHA.
- Accompanies and provides leadership to various members of the RHA at conferences including: the Pacific Affiliate of College and University Residence Halls (PACURH) annual conference the PACURH Regional Business Conference and the National Affiliate of College and University Residence Halls annual conference.
- Advises the National Residence Hall Honorary (NRHH) and meets biweekly with the NRHH President.
On Call Support
- Participates with other managers in a monthly after hours on call rotation for assisting with the operation of our front desks (evenings and weekends).
- Reviews and maintains policies and guidelines regarding shift coverage of front desk staff.
- Is familiar with the terms of the collective agreements for CUPE 116 regarding scheduling and overtime.
- Participates in coverage when the Manager Residence Transition and Community Engagement; and Manager Residence Life Administration are away from work.
Consequence of Error/Judgement
Incorrect decisions/judgments would directly affect the Universitys reputation with the professional community community groups students and faculties. Incorrect decisions would have an impact on the Universitys current and future ability to recruit and retain students various Student Housing operations and the reputation of the University.
Poor judgment or failure to follow procedures or uphold standards could result in poor public relations loss of property or injury to residents or staff loss of revenue damage to building and equipment loss of prestige and potential legal liability for the University.
Department and University credibility and image are strongly impacted by ongoing interactions with students parents campus organizations and the community at large. Poor performance would result in failure to provide a safe and secure living environment for residents as mandated by the University.
Supervision Received
The MRE reports to the Associate Director Strategic Initiatives and Staff Development.
The MRE works independently in accordance with general directives and goals in implementing and administering departmental policies directives and plans. The MREs work is reviewed in terms of achievement of goals and overall effectiveness in management of services.
The MRE is expected to make decisions with a managerial mindset and to exercise particularly good judgment regarding whether or not and how to escalate or refer a decision. The MRE remains independently attentive to detail and follows through to achieve outcomes.
Supervision Given
Manages two to four (2 to 4) student staff including three (2) unionized student staff.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three to four years of related experience or an equivalent combination of education and experience.

Preferred Qualifications
- At least 2 years of recent and relevant experience in operational project and large-scale event coordination including all aspects of project planning process/project development execution and evaluation
- Demonstrated ability to make independent managerial decisions and give direction sometimes in fast-paced environments
- Demonstrated ability to manage ambiguity
- Demonstrated ability to effectively communicate both verbally and in writing
- Demonstrated ability to convey a calm courteous and assertive sense of leadership when dealing with cases of heightened complexity
- Demonstrated ability to nurture relationships with colleagues within other SHCS units and elsewhere on campus in order to achieve work outcomes
- Demonstrated ability to deliver presentations and/or speak in front of large groups of people
- Demonstrated ability to exercise critical thinking and sound judgement
- Experience applying independent judgment to discern key information issues and/or risks within complex or unclear situations
- CAPM or PMP designation is an asset
- Completion of Masters level education or post-secondary education in curriculum design or education is an asset
- Experience working in industries other than Higher Education in particular Student Housing - is an asset
- Experience leading the development of community strongly preferred
- Experience developing engaging outcome-focused training modules is an asset
- Experience manipulating data in spreadsheets and/or database software is an asset
- Experience managing a budget approving expenditures and reconciling accounts is an asset
