Job Description


Reports to: Director of Upper School

Part-Time Non-Exempt

Position Summary:

The Upper School Administrative Assistant is a vital role responsible for the day-to-day running of the Upper School. Maintaining a solutions-driven mindset while directly supporting the Director of Upper School and the US Leadership Team as needed. The Administrative Assistant is responsible for ensuring clear and timely communication managing attendance supporting US events scheduling appointments and general office support.


Daily Duties and Responsibilities:

  • Managing student entry points
  • Dealing with student requests for forms supplies bandages etc.
  • Managing schedule/availability and access to DUS/DOS/DCG
  • Point person for faculty inquiries and sign-in/sign-out
  • Receiving visitors (parents college reps vendors etc.)
  • Answering and responding to parent phone calls and inquiries
  • Maintains the professional atmosphere of the Upper School Office
  • Consistent presence to respond to the emergency call care system
  • Exam set up (midterms finals AP PSAT/SAT)
  • Manage forms lists spreadsheets and project planning platforms
  • Preparing Upper School candidate interview schedules and communicating with candidates
  • Send reminders to faculty about upcoming meetings and events
  • Relieve the Front Desk Receptionist for breaks including 30 minute daily lunch

Overlapping responsibilities include:

  • Assists the Upper School in managing budget information scanning receipts and inputting account numbers in SmartData
  • Order and maintain stock of office supplies
  • Maintains the professional atmosphere of the Upper School and College Office
  • Creates weekly or biweekly (dependent upon school need) newsletters in consultation with US Office Directors and College Office.
  • Works collegially with the receptionist and other administrative assistants ensuring a welcoming office environment and addressing the various needs of students parents and visitors assisting at the front desk when needed
  • Anticipates daily weekly and long-term administrative needs of the Upper School and College Office
  • Provides calendar management support to US Office Directors and College Counselors when needed
  • Other duties as assigned
Requirements

The ideal candidate holds a bachelors degree in business or a related field or equivalent combination of education and work experience. A minimum of three years experience of providing administrative support in a fast paced position is a must. They must possess a positive attitude excellent written and verbal skills strong organizational skills and proven success within a work setting that requires collaboration cooperation and collegiality.
