Operations OfficerPosition Summary:
The Operations Officer is a key member of the Foundations leadership and operational team working closely with the CEO to ensure the smooth running of the organisation. This role involves strategic support promoting and tracking funded research projects as well as general administration and project coordination. This is apart-timeposition (five days/week five hours/day) and will be basedpredominantly onsiteat the Foundations office at Tallaght University Hospital.
Key Responsibilities Strategic and Executive Support
Support the CEO in implementing the Foundations strategic priorities including tracking progress and preparing internal updates.
Manage special projects and cross-organisational initiatives as directed by the CEO.
Prepare briefings presentations talking points and correspondence for the CEO.
Digital Communications and Media Support the Foundations public visibility and stakeholder engagement through digital platforms:
Social Media Management: Maintain and grow the Foundations presence across relevant social media channels ensuring timely accurate and engaging content is posted in line with the Foundations mission.
Website Maintenance: Update and manage the Foundations website content including news items publications event announcements and staff/researcher profiles ensuring the site is current accurate and accessible.
Content Creation: Coordinate the production and scheduling of digital content and other materials that highlight the Foundations research impact and initiatives.
Promotion: Promote key activities such as research grants reports and public events through digital and other means to relevant stakeholders.
Analytics and Reporting: Monitor engagement metrics and web traffic providing periodic reports to the CEO or Board on digital reach and impact.
Liaison with Designers/Developers: Work with external providers as needed to ensure website functionality and visual consistency with the Foundations brand.
Stakeholder and Partnership Engagement
Serve as a point of contact for key stakeholders including researchers partner organisations regulators and auditors.
Support relationship management through meeting coordination timely communication and accurate record-keeping.
General Administration and Office Coordination
Provide executive-level administrative support to the CEO.
Oversee day-to-day office operations to ensure a professional organised and welcoming environment.
Assist in procurement and management of service providers.
Communications and Reporting
Draft internal and external reports updates and communications with a high degree of professionalism and clarity.
Maintain confidentiality and discretion in all communications and activities.
Compliance and Risk
Support organisational compliance with relevant laws policies and regulatory requirements.
Help monitor and manage operational risks in collaboration with the CEO.
Governance and Board Coordination
Coordinate the scheduling preparation and documentation for Board and committee meetings.
Ensure timely follow-up of Board decisions and accurate record-keeping of governance matters.
Support the CEO in fulfilling reporting and compliance requirements for regulators.

Qualifications and Experience Required:
Third level qualification in a relevant area such as business administration company secretarial healthcare management or similar.
Minimum five years experience in executive support administration or operations roles.
Demonstrated ability to manage complex administrative and coordination tasks with minimal supervision.
Experience in social media management.
Desirable:
Experience working with Boards or senior executive teams.
Familiarity with research and/or policy environments.
Experience in not-for-profit compliance and reporting requirements.
Working Hours and Conditions
Part-time: Five days per week five hours per day (25 hours total).
Office-based: Work will take place predominantly onsite at the Foundations office at Tallaght University Hospital.
Remuneration Commensurate with experience in the range 36000 - 44000
