The Rhythm Events Manager is the powerhouse that wrangles all the parts of the business across all locations to make magic happen. This person works closely with everyone and values their relationships. They are trusted and in return demand high standards and trust in the people they collaborate with.
The Role
Our Events Manager plans coordinates and executes various events including store openings community events major sports events and launches. They ensure successful delivery while managing budgets and timelines people and working closely with clients vendors and internal teams.
Key Responsibilities and Duties
- Event Planning & Coordination:
- Work with the Marketing team to develop event concepts themes and designs.
- Create detailed event plans including timelines budgets and logistics.
- Source and manage venues vendors and suppliers.
- Coordinate event logistics such as transportation catering and AV equipment.
- Manage event budgets and track expenses.
- Handle event registration and human management.
- Work with Marketing to develop and implement event marketing and promotion strategies.
- People management:
- Manage and mentor a full time events coordinator as well as a seasonal resource.
- Successfully shape the role and delegate ownership of key projects to provide your resources with clear career development.
- Manage their growth and performance.
- Provide clear direction and guidance on how to successfully perform in their role.
- Ensure they are fully inducted into the company processes connected to the relevant internal stakeholders and understand the Rhythm culture.
- Supplier and Partner Relationship Management:
- Build and maintain strong relationships with suppliers and partners.
- Engage an agency or third party for large scale events.
- Be clear about project scope and manage budgets with suppliers and partners.
- Liaise with and manage partners from start to finish
- Build and establish relationships with partners that can be leveraged when necessary (for sponsorships prizes and brand collaborations)
- Event Execution & Management:
- Work with the leadership team on risk assessments and procedures to ensure safety and liability cover
- Oversee event setup and execution with suppliers and agencies when appropriate
- Manage event staff and volunteers.
- Ensure smooth event flow and address any issues that arise.
- Gather feedback from suppliers partners and attendees to improve future events.
- Post-Event Activities:
- Prepare post-event reports and analyses.
- Follow up with partners suppliers and attendees.
- Evaluate the success of the event and identify areas for improvement.
What youll need to succeed
- Work Experience: 2 years of experience in events
- Qualifications: A Post-secondary education such as a degree in Business Communications Public Relations Marketing and/or Hospitality Management
- Sales & Presentation Skills: An ability to create and present event documents to gain paid sponsors and bring onboard industry partners. Negotiation capabilities to assist in this process.
- Networking: Comfortable building relationships with resorts vendors venues and other industry professionals.
- Organizational Skills: Managing multiple tasks timelines and budgets effectively.
- Communication Skills: Clear and concise communication with clients vendors and team members. Excellent verbal and written skills in English (Japanese is a bonus).
- Problem-Solving Skills: Proven ability to anticipate and resolve issues that arise during events.
- Time Management: Proven ability in meeting deadlines and managing event timelines efficiently.
- Budgeting and Financial Management: Experience tracking expenses and managing event budgets effectively.
- Creativity and Innovation: Experience developing unique and engaging event concepts.
- Team Leadership: Ability to motivate and coordinate teams to deliver successful events.
- Adaptability: Handling unexpected situations and changes with flexibility.
