Customer Portal Administrator
Full Time M-F 1st Shift
Based in Elgin IL (Onsite)
Job Summary:
We are excited to announce a newly created role at Fox Valley Fire & Safety Company! The Customer Portal Administrator is responsible for the day-to-day management and maintenance of customer portal sites ensuring seamless communication and compliance across departments. This role oversees user access maintains accurate documentation and routes incoming communications to the appropriate teams. The individual in this position will also serve as the internal expert on portal functionality and terminology providing cross-functional support and guidance as needed. Attention to detail strong communication skills and the ability to manage multiple workflows are essential.
Key Responsibilities & Accountabilities
- Manage portal sites including setting up accounts user role maintenance and general maintenance for other compliance items such as W9s and COI renewals.
- Retain ownership of emails sent to established portal address and route accordingly.
- Act as a liaison between branches of the business (e.g. sales operations billing etc.) with the intent to keep customer orders moving and invoices paid.
- Assist in portal based issue resolution regarding purchase orders general inquiries as well as providing accurate ETA information for support inquiries.
- Collaborate cross-functionally with members of all departments on customer orders from initial entry to invoice generation to ensure proper steps were taken for order closure.
- Become familiar with the terminology and functionality of the different customer portals offered to facilitate guidance and support for other members of the company.
- Ensure proper documentation is uploaded to appropriate portal such as quotes or invoices.
- Manage the workflow of orders generated including all pertinent portal and customer details with the intent to monitor customer activity and success.

Physical / Environmental Requirements
This position is performed 100% on-site in an office setting. Duties are primarily completed while sitting at a workstation using computers phones and standard office equipment. The role requires the ability to perform repetitive hand movements (such as typing) and move about the office as needed to attend meetings or access files and equipment.
