JOB DESCRIPTION

POSITION: Arlington Community Education (ACE) Operations Coordinator

JOB GOALS: This is a full-time/year-round position working closely with the entire ACE team to coordinate and execute adult family and youth enrichment programs. This position will also oversee the day-to-day operations of ACE streamlining operational efficiency and supporting the smooth functioning of our thriving business. This position requires strong organizational project management and analytical skills to ensure operational success in processes and communication.

MINIMUM QUALIFICATIONS:

The ideal candidate is enthusiastic flexible detail-oriented and self-motivated.

Additional requirements:

  • Bachelors degree and/or equivalent and minimum two years experience providing operational support to an organization.
  • Excellent communication skills and proven success in providing quality customer service.
  • Strong attention to detail and deadlines.
  • Adept at handling multiple tasks at one time and prioritizing assignments.
  • Highly flexible able to adapt to last-minute changes while remaining calm under pressure.
  • Proficiency in Google Docs Excel database systems and willingness to learn new software.
  • Ability to work closely with others in a small fast-paced office.

PERFORMANCE RESPONSIBILITIES:

The essential functions and duties listed below are intended as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if work is similar related or a logical assignment to the position.

Operations Coordinator responsibilities include but are not limited to:

  • Maintain a thorough understanding of Community Ed programs and services.
  • Maintain knowledge of specific classes instructor needs classroom set-ups and student needs.
  • Support students instructors and Community Ed staff as needed to ensure effective operation of programs during fall winter spring and summer terms.
  • Create and submit permits for building usage at all schools and all programs.
  • Communicate schedules and weekly setup/breakdown needs with custodial staff. Assign classes to classroom space and compile weekly room schedules.
  • Assist instructors with classroom technical equipment (projectors computers etc.).
  • Ensure that rooms are clean and in good working order at the end of the school day.
  • Train and manage evening coordinators and prepare the evening coordinator checklist.
  • Hire train and manage high school students to work as evening assistants.
  • Monitor day-to-day operations and recommend actionable improvements when necessary.
  • Monitor and keep up with class details such as launches cancellations materials and postponements.
  • Work in a cross-functional team-based environment and collaborate with others to set goals and problem-solve.
  • Early evening hours are required Tue/Wed/Thu to ensure smooth operations with onsite coordinators instructors students and classrooms.
  • Perform other duties and special projects as assigned by the ACE Director.

TERMS OF EMPLOYMENT: Full Year Full-Time (1.0 FTE 35 hours per week). Some evening and weekend hours as necessary. This position works during the February and April school vacation weeks and all summer.

REPORTS TO: Director of Arlington Community Education

SALARY & BENEFITS: $55000-$61000

Compensation: This position is eligible for health and other insurance and town retirement; sick personal and vacation days are earned proportionate to hours worked.
