The Scheduling Manager will oversee and manage the scheduling of interpreting services ensuring all assignments are staffed with qualified interpreters and executed efficiently. This role requires significant experience in scheduling within the interpreting industry (not translation only) and strong management skills to support day-to-day operations.
Working Hours: 8:30 AM to 5:30 PM PST
Location: open to candidates based in Latin America (remote position)
Responsibilities:
- Execute lead and oversee the scheduling function for interpreting services ensuring all assignments are filled with qualified interpreters according to client needs language pairs and specialization.
- Manage the scheduling team providing guidance training and performance feedback.
- Collaborate with account managers operations and clients to ensure accuracy in project requirements and timelines. Foster strong working relationships with interpreters and vendors to maintain high engagement and availability.
- Monitor and optimize the scheduling process for efficiency cost- effectiveness and quality.
- Ensure assignments are scheduled efficiently aligning with operational goals and supporting overall business sustainability.
- Track key performance metrics for scheduling operations and report regularly to management.
- Assist in risk management by proactively identifying and resolving scheduling conflicts or operational bottlenecks.
- Maintain and refine documentation policies and workflows related to scheduling.
- Follow up on billing matters and overdue payments to ensure timely resolution.
Requisitos
Requirements:
- BachelorFluent in English (written and spoken).
- Previous management or team leadership experience.
- Strong understanding of the interpreting industry and scheduling best practices.
- Ability to work independently and meet deadlines in a high-volume environment.
The Ideal Candidate:
- Proven managerial skills with the ability to manage people and processes.
- Minimum 35 years of scheduling experience within the interpreting industry.
- Strong organizational problem-solving and decision-making abilities.
- Excellent communication skills and ability to collaborate across teams.
- Tech-savvy experienced with scheduling systems and data tracking.
- Strong multitasking skills with attention to detail.
Preferred Tools & Software:
- Interpreter Intelligence (or similar scheduling software).
- Microsoft Office Suite.
