Job Description

Position Summary

The Human Resources Representative is primarily responsible for managing front desk operations for the Westchester campuses. The HR Representative performs a variety of other administrative support responsibilities for the Talent Acquisition Department. They serve as the first point of contact for visitors and callers to the Human Resources in the Pleasantville office. The HR Representative demonstrates a superior service ethic in responding to and directing a wide variety of inquiries for all HR functions. The HR Representative supports recruitment activities for all Westchester campuses by assisting with administration of the UKG Ready applicant tracking system (ATS) responding to applicant inquiries and coordinating all administrative aspects of the hiring process from pre-employment.

Position Duties

Greets all visitors in a positive pleasant and professional manner and assists them by determining how to provide the highest level of service to meet their needs.

Assists visitors in directing their request to the appropriate parties.

Answers and screens telephone calls; takes detailed messages and/or refers to appropriate party; uses independent judgment and knowledge of department and university to determine how to best respond to and resolve all inquiries.

Responds and/or directs questions for other areas of Human Resources such as Benefits Employee and Labor Relations Compensation and Talent Development as they are able and/or refers to the appropriate HR area as necessary.

Receives new hire paperwork for staff faculty and student employees; reviews documents for completeness and accuracy including I-9 verification and all visa/immigration documentation.

Completes and/or participates in projects as delegated by the Associate Director Talent Acquisition or Talent Acquisition Manager and assists other HR areas with projects and events as needed.

Performs other such duties as may be assigned from time to time.

Supervision

Ensure all hire and other paperwork is sent to processing in a timely manner to meet deadlines.

Position Qualifications

Minimum of two years of office experience with high volume data processing is strongly preferred preferably in an administrative support/office manager role and in Human Resources.

Some college or an Associates Degree preferred. Relevant experience will be considered.

Ability to manage competing demands and to exercise independent judgment is critical as well as interpersonal skills.

Familiarity with basic office technology and proficiency in MS Office applications including Word Excel and Outlook required.

Working knowledge of HR databases or Applicant Tracking Systems is a plus.

Understanding of process and experience in process driven environments highly preferred.

Work Hours: 20 hours per week between Monday-Friday 9am-5pm. Candidate will work from the Pleasantville office.
