Pakistan Tobacco Company has an exciting opportunity for an Executive Assistant
Your key responsibilities will include:
- Manage the Head of Functions (HoF) calendar medical claims travel & entertainment (T&E) claims and other assigned day-to-day tasks. Also assist the functional leadership team with expense claims.
- Oversee travel arrangements for the function including booking flights hotels and coordinating visa applications.
- Organize departmental meetings and events ensuring end-to-end execution and coordinate cross-functional meetings with relevant stakeholders.
- Handle T&E portal-related matters troubleshoot user issues monitor ageing claims ensure correct claim submissions conduct training on T&E policies and circulate regular educational communications.
- Manage purchase orders vendor invoices (PO & non-PO) track departmental T&E budgets consolidate reports and maintain records of POs GRNs and invoices while liaising with internal and external stakeholders.
What are we looking for
- Minimum of 34 years of proven experience as an Executive Assistant
- Bachelors degree in a relevant field
- Proficient in administrative tasks and support systems with strong command of English and expertise in MS Teams and MS Office tools.
- Excellent communication skills with a strong ability in stakeholder management and the capability to independently handle administrative tasks and resolve related issues.
- Demonstrates proactiveness ownership and drive while displaying strong teamwork and interpersonal skills.
