This role is central to the delivery of the BCU Sport strategy. Reporting to the Director of Sport and Physical Activity you willsupport the Sport departments work in providing a high-quality student experience. You will work with the sport clubs to enhance their provision and coordinate their day-to-day engagement with British Universities and Colleges Sport Midlands Regional Leagues National and Local leagues and other relevant sports organisations.
The Role:
The BCU Sport Administrator will support the BCU Sport Development teams work in providing a high-quality student experience. It will work with the sport clubs to enhance their provision and coordinate their day-to-day engagement with British Universities and Colleges Sport Midlands Regional Leagues National and Local leagues and other relevant sports organisations.
Main Duties and Responsibilities:
- Lead on Birmingham City University Sport British Universities & Colleges Sport (BUCS) program inclusive of all sports fixtures and administration tasks.
- They will be responsible for the efficient planning organisation and coordination of all club fixtures.
- To ensure the efficient co-ordination of fixtures with BUCS and local/national leagues including production of fixture lists and all communications with relevant parties (to include BCU clubs other Universities and their clubs and BUCS).
- To actively communicate alterations and cancellations of fixtures to other institutions and BCU Sport team.
- Ensure that Birmingham City University and its sports clubs meet all national governing body and BUCS rules and regulations including but not limited to: appointment of qualified officials; provision of appropriate home facilities provided by working in partnership with BCU Sport facility staff; coordination of appeal cases following disputed fixtures/results to ensure resolution in the appropriate timeframe; provision of first-aid for matches and events; and ensure clubs exceed minimum safety requirements.
- To liaise with BCU Sport facility staff to ensure the efficient delivery of BUCS events competitions and meetings hosted by BCU Sport and ensure clubs meet their commitments in hosting/supporting such events.
- Organisation of transport for BCU clubs throughout the season to ensure cost effective and appropriate transport is booked.
- Maintaining accurate records relating to budget expenditure on items such as accommodation entry fees affiliation fees transport equipment and any facility hire.
- To attend BUCS regional meetings BUCS Conference and any other meetings and events as necessary (including both in-person & online events).
- To support disciplinary issues raised in relation to BUCS after consultation with the BCU Sport Development Team. Collate reports and evidence outlining key points of incidents which may occur.
- Lead on the delivery of BCU Sport BUCS Club Captain training sessions and support the training of the wider leadership teams.
- To ensure BCU Sport webpages contain up to date and relevant BUCS information.
- Lead the BCU Sport Development team with BCU Sport membership administrative tasks.
- Deliver an end of season BUCS overview report.
- Provide general administrative support as part of the BCU Sport Development team.
Key Skills & Experience:
Essential:
- Relevant experience of working with university students in a sporting environment.
- Coordinating sports fixtures and events for the benefit of students.
- Experience of student sport development within a sports programme
- Knowledge of BUCS rules and regulations
- Knowledge of student sport and the complexities of working in a fast paced and dynamic student environment
- Ability to work independently and as part of a team using initiative and problem-solving
- Excellent communication skills both written and verbal with the ability to liaise professionally with students staff external partners and sporting bodies such as BUCS (British Universities and Colleges Sport)
- Strong organisational and time management skills with the ability to manage multiple tasks meet tight deadlines and maintain attention to detail
- A flexible and proactive approach with a willingness to work occasional evenings or weekends to support university sport activity and events
- Proficiency in Microsoft Office and digital systems including Excel Outlook and database management and positive attitude towards professional development

Desirable:
- Knowledge of BUCS Play or similar competition management systems
- Good understanding of National Governing Body competition structures and delivery methods
- Understanding of safeguarding health and safety and risk management in a student sport setting
- Confidence in managing and updating online systems or websites including the use of tools for fixture scheduling or results reporting
- Awareness of current trends and challenges in university sport including performance and participation development
- A first aid qualification or willingness to undertake training
