About the Role

The Event Organiser is responsible for the end-to-end event management from planning coordinating and executing events from concept to completion managing all logistics and transportation promoting events to students through effective communication collaborating with internal and external stakeholders and ensuring alignment with Stanley Colleges strategic goals and alignment with budget. The Event Organiser plays a pivotal role in enhancing the student experience and supporting Stanley Colleges reputation as a leading educational provider.

Main Purpose of Position

Develop and implement an annual event plan that promotes student engagement and builds a vibrant campus culture.

Consulting with clients (students and staff) to determine event objectives and requirements

Act as the main point of contact for external stakeholders and partners involved in events.

Foster positive relationships with students staff and other stakeholders to ensure successful event execution.

Coordinate major cultural events as well as orientations and graduations ensuring alignment with the Colleges values.

Develop detailed event plans including timelines budgets and resource allocation.

Ensure all events comply with Stanley Colleges policies and procedures as well as work health and safety regulations.

Manage and facilitate the operations of the Stanley College Alumni program.

Main Tasks and Responsibilities:

Promote events to Stanley College students across all three campuses effectively communicating with the multicultural student community.

Respond to inquiries from students and external stakeholders concerning events and various services provided within the events.

developing marketing strategies to promote events and increase participation

Meet with Stanley College staff and management to discuss operational needs logistical aspects and financial requirements of the events.

Arrange and coordinate services such as catering marketing materials audiovisual and technical requirements and transportation related to student events.

Manage participant registration and communicate information and instructions related to events.

Plan and facilitate event logistics including venue preparation decorations signage audiovisual equipment catering materials and entertainment.

Manage and monitor event budgets ensuring efficient use of Stanley College resources.

Track and monitor expenditures for events including catering entertainment food and beverages decorations event giveaways materials and transportation.

Negotiate with stakeholders regarding services such as catering entertainment and event materials to maintain the allocated budget.

Collaborate with the finance department to ensure timely processing of invoices and payments to external vendors.

negotiating contracts with venues and suppliers to ensure cost-effective delivery

Manage and oversee staff and volunteers to ensure smooth event execution.

Collect and analyse feedback from event participants to measure success and identify areas for improvement.

preparing post-event reports to evaluate outcomes and inform future planning

Required Skills Experience & Qualifications

Proven experience in event planning management coordination budget management and marketing.

A qualification in Event Management or a related field is preferred.

Strong customer service communication problem-solving and time management skills with the ability to meet deadlines.

Experience building positive relationships with internal and external stakeholders.

Understanding of the international education sector and experience working in multicultural environments.

Excellent organisational skills attention to detail and the ability to manage multiple tasks simultaneously.

Reporting

Operate under the direction of the Line Manager and within established guidelines procedures policies workflows and precedents.

Provide support and expertise for events as directed by management.
