Ukraine Analysis Hub
ACAPS Ukraine Analysis Hub (UAH) has been monitoring the conflict in Ukraine and producing timely independent and high-quality analytical products on the humanitarian situation since March 2022. Since its inception the UAH has delivered a comprehensive set of analytical products including in-depth analytical reports and datasets scenario-planning workshops as well as trainings to Ukrainian humanitarian responders.
Today we are a team of 13 primarily Ukrainian analysts and support staff working from within the country to provide context-driven locally informed analysis and support to INGOs and Ukrainian Civil Society Organisations (CSOs).
Purpose of the position
The Project Manager will oversee the operational management of the Ukraine Analysis Hub ensuring effective processes grant compliance and smooth coordination between team members partners and ACAPS global support functions. As part of the hubs management team they will contribute to strategic planning maintain donor relations and support the delivery of high-quality analytical and capacity-building activities.
ResponsibilitiesRole and responsibilities
Project Management & Coordination
- Ensure effective day-to-day operations of the hub implementing and improving operational processes (including archiving) and SOPs.
- Coordinate internal planning and capacity-building activities team meetings lessons learned sessions and other core processes such as the hubs annual strategy workshop.
- Liaise with ACAPS NORCAP and NRC Ukraine support functions to ensure timely delivery of HR finance procurement and logistics support.
- Oversee the coordination of workshops trainings travel and events.
Grant & Financial Management
- Lead donor reporting processes ensuring accuracy timeliness and compliance with all grant requirements.
- Monitor budget spending and update forecasts in coordination with the Administration Officer and ACAPS Finance Team.
- Support the Team Leader with fundraising efforts by providing budget estimates and drafting grant proposals and funding applications.
- Ensure MEAL processes are implemented findings are analysed and learning is integrated.
Team & HR Management
- Line-manage and coach the Administration Officer.
- Coordinate recruitment and onboarding processes of the UAH with relevant managers and in close collaboration with NRC NORCAP and ACAPS.
- Maintain updated organisational charts and track performance appraisals.
Partnerships & Representation
- Represent the hub with partners and donors as requested by the Team Leader.
- Support identification and development of partnerships for joint projects information exchange and capacity building.
- Work with the Civil Society Advisor to coordinate capacity-building activities including participant selection portfolio evaluation and procurement.
Any other tasks delegated by the Team Leader.
Critical interfaces
The Project Manager will work closely with all members of the Hub to ensure correct and smooth work processes and communication. The Project Manager will work closely with the Administration Officer the Team Leader the Senior Analysts and the Civil Society Advisor. They will also collaborate with: ACAPS HR ACAPS New Business Development Manager and ACAPS Finance.
QualificationsCompetencies
Knowledge and experience
- Masters degree in humanitarian action project management social sciences international relations research international development or other relevant sector.
- Bachelors degree with 2 years additional relevant experience accepted.
- Minimum 5 years experience in international organisations including at least 2 years in the humanitarian sector. Strong track record in donor relations proposal development and grant reporting preferred; experience in humanitarian analysis is an asset.
- Excellent writing and presentation skills with the ability to develop compelling donor reports funding proposals and presentations that clearly communicate impact and priorities.
- Proven experience managing complex fast-paced projects and multi-disciplinary teams.
- Strong knowledge of project management tools and approaches.
- Proven ability to deliver results under tight deadlines.
- Solid understanding of the humanitarian sector coordination structures and UN system.
- Excellent IT skills (MS Office; project management tools such as Airtable Miro etc.).
- Fluent written and spoken English and Ukrainian.
