Job Description

Reporting to and working closely alongside the Associate Vice President Advancement & Alumni Relations the Executive Assistant Advancement (The Assistant) is responsible for administrative functions related to operational support to the Associate Vice President Advancement & Alumni Relations as well as the AVP & CCMO and the Special Advisor to the President Collaborative Innovation.

The Assistant participates in and assumes responsibility in supporting projects committees and process improvement initiatives. The incumbent is responsible for the efficient and effective coordination for projects and related activities in the department; such as event and stewardship activities.

The incumbent is a front-line adviser escalating matters as appropriate and supporting the AVPs and Directors in the work and development of the Office and the portfolio.

Due to confidential aspect of work considerable discretion and judgement is required.

What Youll Be Doing

  • Providing administrative Support to theAVPs Leaders and Directors: Providing confidential administrative assistance to the AVPs and Directors and representing the AVPs in administrative transactions.
  • Responsible for administrative support and logistics documentation preparation and follow up for internal and external audiences.
  • Developing implementing and monitoring administrative procedures to ensure the efficient operation of the department.
  • Communications Client Service (Inquiries & Problem Resolution): Contributes to the communication efforts of the department by responding to issues developing and maintaining a web presence for the office liaising with a variety of clients and staff at various levels across Sheridan on behalf of the AVP to achieve Division goals and strategic planning objectives and tracking client concerns following up to ensure appropriate actions have been taken.
  • Projects Reports Analysis & Presentation Preparation: Organizing preparing and ensuring integrity of reports presentations proposals contracts and other materials for internal and external audiences; Initiating and undertaking special assignments by researching and analyzing data collecting and assembling relevant data;
  • Managing project administration and workflow.
  • Management of Documentation: Implementing procedures and processes for document preparation records management of agreements contracts policies that are compliant with legislative requirements.
  • Financial Administration & Operational Analysis: Participating in the development and monitoring of the operating and capital budgets; Assigning and monitoring work of occasional temporary or coop staff; Assisting with HR transactional activity.
  • Manages the administrative components relating to special events or activities of the department.
  • Performs other initiatives and activities as required.

About You

You are an analytical thinker and have a knack for thinking critically about how processes flow and how to build systems.

You exercise sound judgement problem solving and conflict resolution skills along with your ability to invite new ways of thinking allow you to solve challenges in a creative way to help advance organizational goals.

Your proven organizational skills allow you to calmly handle a demanding workload with changing or conflicting priorities.

The successful candidate will also meet the following qualifications:

  • 3-year diploma/degree in Office Administration Business Fundraising Management or a related field of study.
  • Minimum of 5-years progressive experience as an administrative assistant providing senior level administrative support preferably in a post- secondary environment. (equivalencies will be considered)
  • High level of proficiency with current office applications & technologies; able to quickly learn new software applications
  • Excellent organizational project management and analytical skills
  • Research skills via web and other resources (e.g. government documents databases and e-resources)
  • Experience with report writing minute taking correspondence and presentation
  • Experience developing e-newsletters web materials
  • High level of proficiency with current office applications (e.g. MS Office Excel Word PowerPoint) and technologies; able to quickly learn new software applications.
