Our client is looking for an Executive Assistant to join their team in Johannesburg Gauteng. The successful candidate will provide high-level administrative and secretarial support to the Executive Team ensuring efficient scheduling coordination of meetings travel arrangements and communication management. The role requires meticulous attention to detail excellent organizational skills and the ability to handle confidential information with discretion.
Responsibilities:
Manage and coordinate executive calendars; schedule meetings appointments and travel arrangements.
Confirm appointments daily and provide the next days schedule in advance.
Prepare meeting agendas take minutes and track action items.
Prioritize and manage incoming communications including email and phone calls.
Organize meetings conferences and eventshandling all logistics and followups.
Prepare correspondence presentations and reports.
Liaise professionally with internal teams clients and external stakeholders.
Manage travel bookings visa applications and related documentation well in advance.
Track budgets and report monthly to the Executive Team.
Handle special projects and initiatives as assigned.
Maintain and update email databases and marketing materials.
Assist with personal tasks and errands for executives as required.
Ensure compliance with quality standards in coordination with the Quality Manager.
Lead or participate in regular meetings as scheduled.
Requirements:
Proven experience as an Executive Assistant Office Assistant or in a similar role.
Matric (Grade 12) qualification; secretarial studies is an advantage.
Strong computer literacy in Microsoft Office (Word Excel PowerPoint Outlook Internet).
Familiarity with STRUMIS (training provided if necessary).
Excellent written and verbal communication skills.
High levels of integrity honesty and confidentiality.
Ability to work under pressure manage stress and maintain poise.
Strong self-awareness openness to feedback and team orientation.
Personable emotionally intelligent with a sense of humor.
Balanced approach to work and personal life.
