As a UFG Administrative Assistant you will play a key role in attending to visitors in this fast-paced environment. You will be responsible for dealing with inquiries from customers and employees on the phone and face-to-face.
Specific duties for role:
- Coordinating and planning EXPOs and Franchisee Conventions
- Managing Philanthropic Events with the UFG Cares program
- Coordinating UFG Social Events and Employee Engagement
- Coordinating Domestic and International travel for employees which includes booking flights ground transportation and/or hotels and conveying itineraries to travelers.
- Assisting travelers with travel changes due to booking issues full flights weather delays or similar travel issues.
- Special projects and duties as needed.
- Greet and direct callers visitors and employees
- Notify company employees of visitor arrival
- Maintain security and telecommunications system
- Answer incoming telephone calls determine purpose and forward calls to appropriate personnel or department.
- Welcome on-site visitors determine nature of business and announce visitors too appropriate personnel.
- Understand company business and services
- Answer questions about organization and provide callers with address directions and other information.
- Schedule conference rooms and maintain their appearance
- Maintain security by following procedures and monitoring visitor activity
- Maintain safe and clean reception area
- Receive and sign off on deliveries
- Complete special assignments and other clerical duties as needed
- Prioritizes tasks meets deadlines and maintains productivity by effieciently organizing and prioritizing in a fast-paced environment
Qualifications :
Job Requirements:
Specific qualifications for this full time customer service role include:
- High school diploma or general education degree (GED) is required
OR 1-5 years experience in a front desk role
OR equivalent combination of education or experience
- Must be able to identify and resolve problems in a timely manner
- Maintain a high level of confidentiality
- Demonstrate accuracy and thoroughness
- Managing and Maintaining Budgets
- Event Coordinating/Management Experience
- Travel sales expertise or experience using online booking tools or airline reservation systems.
- Excellent working knowledge of Microsoft Office Suite (Outlook Excel Word and PowerPoint).
- General administrative experience in an office environment.
- Familiarization with invoicing and financial responsibility.
- Hands-on experience with travel booking and CRM software.
- Detail-oriented able to multitask and highly organized to keep all travel arrangements and social events in order.
- Excellent interpersonal skills
- Self-starter and ability to show initiative within role.
- Ability to work in a fast-paced environment and time management
