SUMMARY:
Administrative Coordinator II works under general supervision and provides administrative support for the Office of the President. This position is responsible for the exercising of discretion and independent judgement with respect to matters of significance and contributes to the overall mission of East Texas A&M a proud member of the third-largest institution in The Texas A&M University System ETAMU fosters a strong professional environment that supports career growth and academic excellence.

DUTIES & RESPONSIBILITIES:
- Serves as office manager by managing office activity independently and monitors office procedures to eliminate duplication of efforts and to streamline flow of operations. Assists with office administration. Assists students staff and others in the department in order to regulate and oversee activity.
- May review and sign documents for supervisor. Attends meetings or committees on behalf of supervisor.
- Analyzes program project or initiatives. Monitors project timelines and identifies issues. Adapts combines and makes improvements to services processes or programs.
- Creates and maintains all requisitions/purchase orders for all invoices to ensure vendors are paid promptly.
- Formulates interprets and/or implements management policies or operating practices. Develops administrative and technical procedures. Researches interprets compiles and responds to inquiries about rules regulations policies and procedures. May monitor compliance with policies and procedures.
- Performs special analyses and project summaries. Prepares and reviews operational and special reports. Coordinates office records retention and maintains office references and resources materials.
- Coordinates travel arrangements and prepares itineraries. Coordinates meetings seminars and other special events and may provide on-site support to include facilities equipment and food.
- Maintains departmental inventory by counting material equipment merchandise or supplies in stock and orders according to department need for business. Maintains inventory log as well as responsible for updating records in FFX to reflect any and all changes for all inventory in CANOPY.
- Maintains departmental files keeps interested groups informed as to availability of materials.
- Supervises trains and evaluates the work of others. Assigns tasks and evaluates job progress.
- Provide administrative and financial support services for the Office of the President.
- Maintains pro-card and travel card.
MINIMUM REQUIREMENTS:
- Education: Bachelors degree or equivalent combination of education and experience.
- Experience / Knowledge / Skills: Three years of related experience. Strong organizational skills and detail-oriented. Knowledge of word processing spreadsheet and database applications. Effective verbal and written communication skills.
- Ability to: Multitask and work cooperatively with others. Excellent written communication analytical interpersonal and organizational skills. Ability to work with sensitive information and maintain confidentiality.

- Other Requirements: May occasionally be required to perform work at other campus locations. This position is not authorized for online or work from home arrangements.
PREFERRED EDUCATION / SKILLS/ EXPERIENCE:
Degree preferred. Proficiency with standard East Texas A&M administrative tools such as Canopy ManeMarket Emburse and Workday. Experience in higher education.
SUPERVISION OF OTHERS:
May supervise student workers and/or graduate assistants.
