Job Description

Administrative Assistant to the Principal - Kent Career Tech Center

Kent ISD

Full time 260 day year-round position

Non-Union Hourly Classified Grade5

Perform routine and advanced administrative assistant duties to assist the KCTC Campus Principal. Help assure efficient and effective operation of the offices of the KCTC Campus and have a positive impact on the provision of educational services. Must be reliable and task-oriented and work directly with the KCTC Administrators. Responsible for performing a number of administrative duties. Must be self-motivated professional and capable of managing workload and prioritizing tasks.

General Responsibilities

  1. Coordinate administrative communications and correspondence including responding to emails and interfacing with internal and external customers. Must have advanced skill level of Microsoft Office Google Suite Adobe and PowerSchool.
  2. Must be able to learn new programs and software as needed. (Word Excel PowerPoint Outlook PowerSchool Foxbright RedRover Kronos Lets Talk Applitrack MOECS Google docs).
  3. Coordinate and maintain appointment schedules calendars of activities/workshops/conferences and other functions related to KCTC Programs.
  4. Perform varied duties requiring knowledge of departmental and organizational policies and procedures dealing with KCTC.
  5. Establish and maintain confidential files and organizational/departmental records in appropriate formats (electronic and/or paper).
  6. Assist in the development of standard operating procedures for KCTC and assist in problem solving efforts of procedures and systems as necessary.
  7. Write and distribute communications to parents local districts business partners staff etc. as needed.
  8. Assist in the planning and development of professional development training as needed for KCTC (i.e.-August PD for all staff Yearly Staff PD Days & New Staff Orientation).
  9. Must uphold a strict level of confidentiality.
  10. Must develop and sustain a level of professionalism among staff and customers both internal and external.
  11. Maintain and set up instructor accounts in the RedRover absence management system for the KCTC campus. Train and assist campus users as needed with sub needs and situations including pay adjustments corrective action documentation and training.
  12. Maintain and manage daily substitute needs for KCTC including providing subs with their instructions schedules and information for the day. Process reconcile make pay adjustments and approve EduStaff invoice for KCTC substitute teachers.
  13. Assist administration with the hiring process for KCTC staff positions including scheduling interviews processing personnel forms tracking progress and onboarding new hires.
  14. Prepare timesheets in Kronos time management system and other payroll documents as needed forwarding them to the payroll department on behalf of KCTC Principal and Assistant Principals once approved. Correspond with and correct errors in Kronos for staff as needed per approval of administrators.
  15. Assist in planning and coordination of staff events and activities.
  16. Maintain staff Google site of KCTC resources and information.
  17. Prepare and send bi-weekly newsletter to KCTC staff.
  18. Liaison between instructors and the KCTC Principal and responds to calls and inquiries from parents students local districts and business partners as needed.
  19. Maintain a purchasing card for purchases reservations etc. Responsible for record keeping and monthly reconciliation of said card.
  20. Maintain an active Michigan Online Educator Certification System (MOECS) log in for Kent ISD for the purpose of processing Annual Occupational Authorizations for substitutes and Career Tech Education Specialists.
  21. Maintain an adequate and complete end of the year check out process that collects all required information and items from staff before they depart for the summer break.

Knowledge Skills and Abilities Required:

  1. Requires a BA level degree or the equivalent in relevant work experience and training.
  2. Advanced Microsoft Office Google Suite and PowerSchool skills with an ability to become familiar with district specific programs and software.
  3. Proficient in collaboration of duties.
  4. Broad knowledge of organizational operations and policy and a high level of experience and technical skills. The ability to perform non-routine assignments independently including follow up and commitments made at meetings by staff members; locating and summarizing information effectively.
  5. Strong organizational leadership project management and problem-solving skills with impeccable multi-tasking abilities and able to work efficiently and effectively under pressure.
  6. High level of communication and interpersonal skills such as discretion integrity and flexibility to interact effectively with administrators peers constituent districts advisory committee members all secondary program support staff and the general public.
  7. Ability to maintain flexible scheduling for workshops meetings and conferences.
  8. Friendly and professional demeanor
