The Department of World Languages Literatures and Cultures is seeking an Operations Coordinator. This position requires a high degree of confidentiality initiative and independence in managing the administrative office meeting needs of students faculty & staff for WLLC. The department has faculty of approximately 50 members 13 graduate students two staff & hundreds of undergraduate students. Responsible for managing department budget of $3 million plus grant donor and professorship funds. Responsibilities include account management budgetary reports human resource management coordination of department info. Assists Department Chair in matters pertaining to departmental programs coordinates most administrative activities relieves the Chair of routine administrative matters & makes independent administrative decisions regarding matters affecting the department.
Job Responsibilities:
30% - Administrative: Acts as assistant to the Chair. Manage administrative office and oversees activities for the department including keeping up-to-date on deadlines for all processes updates faculty staff and student employees on policy changes analyzes work assignments approves leave requests and evaluates work performance for assigned staff. Ensure compliance with Federal and State regulations and accreditation standards of SACS. Advise interpret and implement policies and procedures to Department Chair faculty graduate students staff and student employees. Liaison for Department Chair directors and the college and departmental contact for outside entities. Compose correspondence regarding administrative decisions.
Coordinates faculty evaluations. Prepares and assembles faculty evaluation packets including annual reports annual evaluations third year review and tenure and promotion packets; compiles and prepares statistical report and comments for annual Hispanic Studies Undergraduate Coordinator. Ensures that faculty annual evaluations are processed correctly in Elements.
20% - Human resource management/Supervision: Supervise train and evaluate Office Support Coordinator. Coordinates personnel matters and ad comp payments between the department and HSS. Assists in managing processes for personnel searches including review of applications travel arrangements obtaining degree requirements for candidates and preparing employment contracts and offer letters. Maintains personnel records. Serves as point of contact for new employees to ensure smooth transition to campus. Provide annual training to employees in regard to department university and state policies and for tracking leave and other critical HRM needs of the department including preparation of visa application documents for non-US faculty. Liaison between department and International Services to solve faculty immigration problems. Responsible for coordinating with ISO on H-1B TN J-1 F-1 visa petitions green card and proper work authorizations for department faculty staff and student employees. Tracks expirations of passports and visas and communicates with chair and employee on upcoming expiration dates.
20% - Budget and accounting: Responsible for department budget and manages all accounting functions for department and World Language Lab & Resource Center including restricted and unrestricted accounts special events budget grants Foundation accounts and professorship funds. Serve as Accountant and Cost Center Manager for Department. Maintain record of account balances and reconcile ledgers monthly. Projects fiscal year end spending needs; initiates funds transfers as needed; processes student scholarship awards; Manage Hispanic Studies conference account by collecting and depositing registration fees; prepares annual summer budget and salary savings reports; reports budgeting and accounting issues/problems to Department Chair. Develop & maintain specialized spreadsheets to maintain accurate record of travel & assistantship funds available for graduate students and travel for faculty. Track financial commitments from the College. Serve as liaison with Accounting Services and HSS all on accounting matters
20% - Academic Support & Travel: Serve as financial contact and assist in coordinating events including conferences guest lectures guest scholars and graduate student recruiting events. Assists the department Chair with uploading information to the Gen Ed and SACSCOC websites. Guides faculty guests lecturers and interviewees with the completion of travel authorizations travel reimbursements and answer questions regarding travel policies and procedures; Processes reimbursements for faculty visiting lecturers and interviewees to receive funds in a timely and accurate manner; Maintains travel account spreadsheet to ensure that faculty travel funds are properly used and not over-expended.
10% - Technical: creates and distributes on-line surveys and distributes voting results to department Chair via Qualtrics or prepares paper ballots. Provides technical assistance for minor computer problem issues for staff and faculty and reports major issues to college technical service provider.
Other duties as assigned.
