Job Description

Ahti Interiors is a design-led sanitary ware brand supplying premium bathroom products across Bali and Indonesia. We collaborate with leading architects developers and interior designers to provide high-quality sustainable bathroom solutions that blend aesthetics and function.

Tasks

We are seeking a highly organised and proactive Office & Business Support Coordinator to provide comprehensive support to our CEO finance team logistics manager and overall office operations. This is a varied role that will suit someone who enjoys wearing multiple hats thrives in a fast-paced environment and takes pride in keeping both the business and the team running smoothly.

Key Responsibilities

1. Executive & CEO Support

  • Manage the CEOs calendar schedule meetings and coordinate travel arrangements.
  • Prepare agendas meeting notes and follow-up actions.
  • Support project tracking and ensure deadlines are met.

2. Finance Administration

  • Assist the finance function with invoicing expense tracking and payment schedules.
  • Liaise with suppliers to ensure timely billing and payment processes.
  • Maintain accurate financial records and support basic reporting.

3. Logistics Coordination

  • Work closely with the Logistics Manager to support shipping customs documentation and order tracking.
  • Maintain supplier and freight forwarder communication to resolve issues quickly.
  • Keep product and shipment records up to date in company systems.

4. Office & Team Administration

  • Manage office supplies stationery and day-to-day facility needs.
  • Organise company files (digital and physical) for easy access.
  • Coordinate internal communications and team activities.
  • Provide ad-hoc administrative support to all departments as needed.

Requirements

  • Minimum 2 years experience in office administration executive assistance or business coordination roles.
  • Excellent organisational and multitasking skills with strong attention to detail.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Familiarity with logistics or finance administration is a plus.
