Primary Responsibilities:
Executive Assistant to the Chief Services Officer Duties:
- Manage the Chief Services Officers calendar meetings travel arrangements and communications.
- Serve as a trusted partner ensuring the Chief is prepared for meetings presentations and deadlines.
- Maintain a high degree of confidentiality and professionalism in all interactions.
- Screen and prioritize correspondence and meeting requests.
- Prepare reports presentations and executive-level documents.
- Coordinate internal and external meetings including agendas and follow-ups.
- Anticipate needs and offer proactive solutions to improve efficiency and support strategic goals.
Services Administrative Assistant Duties:
- Serve as an Asana power-user managing projects and assisting with task coordination for the Services team (with ongoing support from leadership as needed).
- Manage amenity closet inventory ensure supplies are branded appropriately and coordinate restocking.
- Execute welcome campaigns for specific groups including sidewalk chalk installations airport signage QR code or physical material distribution and other creative touches.
- Handle shipping logistics for booths and attendance promotion materials for events.
- Create and maintain CRM traces for definite groups tracking items such as final attendance post-convention reports (PCRs)/surveys MINT Booking Reports and Pickup Reports.
- Schedule team meetings assist with agenda creation and serve as meeting notetaker capturing action items and key outcomes.
- Design and create PowerPoint presentations for internal and client-facing purposes.
- Manage purchase orders (POs) and process invoices accurately and efficiently.
Qualifications:
- Proven experience supporting a C-suite executive or senior leadership preferably in hospitality tourism or events industries.
- Highly organized with strong attention to detail and ability to manage multiple projects simultaneously.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite particularly PowerPoint Excel and Outlook.
- Familiarity with Asana project management software and CRM platforms (Simpleview experience a plus).
- Ability to maintain professionalism and discretion with sensitive information.
- Creative problem solver and self-starter who thrives in a fast-paced environment.
