What are we looking for

We are looking for a motivated intelligent and skilled individual to join us in an Executive Assistant role assisting the day-to-day tasks of one of our Directors to achieve administration research and sales objectives. You will play a crucial role in driving the success of our organisation by delivering high-level administrative and management coordination. Ideally youll be someone who thrives in an office environment has a strong background in similar roles such as management sales or administrative support and can seamlessly assist executives with their needs to have a net positive impact from the start.

In this role youll tackle challenges head-on communicate with clarity and maintain a sharp eye for detail. Youll be more than a problem-solver; youll be a proactive partner who anticipates needs drives efficiency and contributes to a vibrant positive work culture. Tasks

As an Executive Assistant you will be working closely with our leadership team providing administrative sales and management support to help streamline their day-to-day responsibilities. This is a critical role in ensuring that our executives can focus on strategic decision-making while you handle essential operational tasks. Your role will include managing calendars coordinating meetings preparing reports and handling confidential information with discretion. Youll also be tasked with project coordination and acting as a liaison between the executives and internal/external stakeholders.

Key Responsibilities:

  • Manage and organise the executives daily calendar schedule appointments and coordinate meetings with internal and external stakeholders.
  • Offer administrative support including composing and editing emails drafting memos and preparing communications on behalf of the executive.
  • Co-ordinate meetings and sales opportunities - assist in curating lead and opportunity lists to help schedule the Executives calendar especially when travelling
  • Assist with the preparation of sales proposals and quotations.
  • Draft and interact with external contacts via e-mail and other means on behalf of the Executive to assist with sales opportunities and meetings.
  • Manage workflow and task prioritisation.
  • Screen and manage incoming emails and correspondence ensuring timely responses.
  • Act as a liaison between executives clients or partners fostering smooth communication.
  • Track and follow up on various tasks and projects ensuring deadlines are met.
  • Perform other ad-hoc duties as assigned.

Requirements

  • Preferably with 2-3 years of experience as an Executive Assistant Office Assistant Manager or in a similar role
  • Bonus if you have a strong passion for information technology
  • Savvy in Google Suite/Workspace Applications
  • Exceptional organisational and time management skills
  • Strong written and verbal communication skills
  • Discretion and integrity when handling confidential information
  • Positive attitude adaptability and a high level of professionalism

This is a full-time permanent position.
