Compensation range: AU$2500 - AU$3000/month

About the role
Were on the hunt for a proactive Executive Assistant to support a high-performing executive with multiple ventures. This isnt your typical admin role youll be the central point of contact across inboxes calendars and digital systems ensuring everything runs smoothly behind the scenes. Youll need to be highly organised intuitive and confident managing financial information and high volumes of communication.
Responsibilities:
- Manage multiple email inboxes and ensure a clear structured system with minimal back-and-forth.
- Stay on top of calendar management including organising meetings scheduling calls setting reminders and resolving meeting overlaps.
- Handle post-meeting follow-ups track action items and ensure momentum across ongoing projects.
- Maintain and update spreadsheets for financial tracking invoices and property-related bills (Excel and Google Sheets).
- Monitor and coordinate bill payments segregating by property or category and filing everything with proper naming conventions.
- Manage task tracking and small project coordination using tools like Asana.
- Provide support with travel bookings including itineraries and necessary documentation.
- Assist with personal administrative tasks such as paying personal bills or maintaining personal records.
- Liaise with external stakeholders (vendors partners service providers) by drafting emails and documents for the executive to review.
- Assist in exploring business opportunities researching or organising ideas and capturing next steps.
- Keep all systems and files well-organised across Google Workspace (Gmail Calendar Drive).
- Maintain daily communication for any action items via WhatsApp.
- Perform data entry documentation and general admin with a high level of accuracy.
- Stay proactive in identifying gaps suggesting improvements and keeping projects on track without needing constant follow-ups.
- Oversee task management workflows to ensure timely execution and prevent any items from being overlooked.
Requirements:
- At least 4 years of experience as an Executive Assistant supporting an executive with multiple business ventures.
- Exceptional email and calendar management skills with confidence managing several inboxes simultaneously.
- Brings strong financial admin experience particularly in managing spreadsheets tracking bills and documents and analysing gaps to identify and implement effective solutions.
- Familiarity with Google Workspace (Gmail Calendar Drive) Zoom Google Meet Asana Excel Google Sheets and WhatsApp.
- Excellent verbal and written English skills with strong grammar clear articulation and a professional tone.
- Highly focused on creating and maintaining structured systems and organised digital filing.
- Exceptionally detail-oriented with a habit of validating assumptions and proactively seeking clarity and not afraid to ask the right questions.
- Attentive listener who follows instructions accurately while identifying gaps and offering thoughtful input.
- Trustworthy and comfortable handling sensitive financial or personal information.
