Job Description

As an Executive Assistant / Office Manager at Mews youll step into a permanent position with a unique blend of responsibilities. The role will initially focus on providing maternity leave cover for the current EA to our President and Chief Commercial Officer (CCO) while also managing our new Dallas office. The Office Management aspect of the role will remain constant but the specific executives you support as an EA may change once the permanent EA returns. You will always have an EA component to your work making this a rare opportunity to build deep connections across the a fastgrowing dynamic company like Mews this position offers significant potential for growth and development as well as career trajectory.

Discretion and confidentiality are paramount and youll act as the linchpin between departments to foster collaboration and efficiency. A teamplayer mindset and a customer serviceled attitude are essential. This role is based in our Dallas office with an expected presence of 35 days per week depending on team schedules.

Your mission should you choose to accept it:

Responsibilities:

Executive Assistant:

  • Undertake daily administrative tasks to ensure the functionality and coordination of our Executives activities.
  • Plan and manage complex meeting and travel arrangements for our Executives maintaining calendar organization and management.
  • Schedule internal and external meetings for the executives as required ensuring teams have proper documentation before meetings take place.
  • Lead on internal meeting facilitation - creating agendas presentation materials recording minutes documenting action items and ensuring accountability across multiple stakeholders.
  • Connect with colleagues on behalf of our Executives for cross-functional project coordination such as OKRs - demonstrating leadership credibility and initiative. This role will be connecting teams across commercial and go-to-market.
  • Manage end-to-end event planning and logistics including (but not limited to) all-hands weekly stand ups summits team events and sales kickoff - both online and in person ranging from 5-10 participants to 300 team events.
  • Demonstrate knowledge of up-and-coming venues restaurants and boutiques for potential use in events dinners and gifting purposes.
  • Collaborate within the EA team to ensure effective transfer of information and knowledge sharing.


Office Management:

  • Oversee day-to-day office operations to ensure a smooth and efficient workplace including managing office supplies equipment and vendor relationships.
  • Act as a key touchpoint for office culture and operations regularly sharing observations and feedback with the Chief Commercial Officer and relevant stakeholders to support a productive and positive environment.
  • Support desk and meeting room scheduling in the office space.
  • Assist with onboarding and workspace setup for new hires.
  • Serve as the primary point of contact for general office inquiries on a day-to-day basis.

Required Skills:

  • Minimum of 3 years of experience in an EA Team Assistant or Office Manager role in a fast-paced high-growth environment.
  • Expert proficiency with Microsoft Office and Microsoft PowerPoint; ability to design and edit graphic presentations and materials using these tools.
  • Event management experience - ideally across global teams
  • Innovative mindset with a willingness to explore new technologies and embrace learning.
  • Intellectually curious with a passion for problem-solving.
  • Proactive project manager taking ownership and balancing multiple projects and priorities effectively.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism when dealing with diverse groups of people including Board members senior executives and external partners.
  • Ability to make informed decisions regarding priorities and available time.
  • Capacity to handle a high volume of tasks and projects with little or no guidance.
  • React with appropriate levels of urgency to situations and events that require a quick response or turnaround.
  • Maintain a high level of integrity and discretion in handling confidential information.
  • Autonomously work through ambiguity - ability to deal with chaos and figure things out independently.
