Job Description

Quality Staffing Inc. also doing business as Goddard Mason Executive Search a leading full-service employment agency matching qualified talent with some of the areas top companies is looking for an experienced Regulatory Board Administrative Assistantto work through our agency as a contract employee with the Tennessee Department of Health (TN DOH) located in Nashville TN. This is ahybrid position working from 8:00 am to 4:30 pm Monday through Fridayfor a total of 37.5 hours per week. The pay rate for this position is $32.00 per hour.

Regulatory Board Administrative Assistant Job Summary:
Under general supervision this role will be responsible for regulatory boards administrative work and will handle moderately complex activities for a regulatory board necessary for the execution of statues and mandates licensing processes.

Regulatory Board Administrative Assistant Job Responsibilities will include:
  • Review licensure/application permits and certifications for status completeness accuracy and eligibility requirements based on policy procedures and law.
  • Make recommendation to accept or reject the application in accordance with pertinent laws rules and regulations and forward recommendation to supervisor for approval.
  • Make determinations on requests for reciprocity and renewal per policy procedures and law.
  • Evaluate licensing certificates registration or other statements of authority for completeness accuracy and eligibility requirements.
  • Ensure licenses and reports are completed accurately.
  • Ensure mandates and pronouncements are implemented as assigned.
  • Issue licenses certificates registration or other statements of authority to practice in an occupation or profession.
  • Match payments to cashiers office with appropriate licensees record; may process expenditure reports.
  • Enter and/or revise data from multiple sources into database; may post or adjust payments on licensees record in computer.
  • Maintain and process license payment records and accounts for fees to include refunds and returned checks.
  • Prepare reports for submission to the board.
  • Maintain license payment records.
  • Coordinate the collection and preparation of reports.
  • Handle complaints and explain policies procedures and laws to applicants members of the public board and commission members operating departments and other entities.
  • Respond to applicant inquires about licenses; supply requested information records or reports.
  • Provide information to other states or professional organizations surveying for information such as number of licensees or the cost of a license.
  • May notify applicants of passing or failing examination scores; may ensure applicants are notified of passage or failure.
  • Examine the status of the case from established computer databases.
  • Coordinate meetings for pertinent board of commissions.
  • Coordinate the scheduling of requisite competency examinations; ensure the testing dates time and place are set for test administrators.
  • Ensure the notification of the date time and place of the applicants examination or interview.
  • Prepare meeting facility.
  • May ensure applicants are monitored during examinations and that applicants are notified of passage or failure.
  • Relate findings to appropriate personnel (e.g. supervisor director or attorney) of the status of the case.
  • Discuss critical deviations from standard policies and procedures with a supervisor; discuss issues concerning the preparation of reports with supervisor.
  • Collect expenditure reports; may collect reports from inspectors investigators and auditors.
  • May monitor or review the status of case investigations of individuals practicing pertinent occupations and professions; may monitor applicants during the examination.


Education and Experience Requirements for Regulatory Board Administrative Assistant:
  • Education equivalent to graduation from a standard high school and experience equivalent to four years of full-time work in one or a combination of the following: management administrative support to management or clerical experience.
Substitution of College Education for Experience:
  • Course work credit received from an accredited college or university may substitute for the required experience on a month-for-month basis to a maximum of four years (e.g. 45 quarter hours may substitute for one year of the required experience) OR
  • Experience equivalent to one year as a Regulatory Board Administrative Assistant 1 with the State of Tennessee.
