PRIMARY PURPOSE:

Provide a wide range of administrative tasks regarding employee benefits to insure accurate communication and enrollment of employee benefits through presentations and individual meetings in accordance to Board Policy Plan Documents Federal and State laws for the District and AISD Employees.

QUALIFICATIONS:

Minimum Education/Certification:

High school diploma or equivalent

Associates Degree Preferred

Bilingual-Spanish Preferred

Typing test reflecting > 40 WPM required

Special Knowledge/Skills:

Knowledge of administration of employee benefits programs and applicable laws

Ability to interpret and disseminate insurance and benefits information to individuals and groups

Ability to effectively present information in one-on-one and to small and large groups of employees

Excellent written and oral communication public relations organizational and interpersonal skills

Excellent telephone and customer service skills

Thorough knowledge of Microsoft Office Suite including Publisher and Excel

Proficient but accurate skills in typing word processing data entry scanning and file maintenance

Ability to operate computer and other office machines

Ability to problem solve

Handle multiple projects and activities simultaneously and meet deadlines

Work Conditions:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting

Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching

Lifting: Occasional lifting and carrying (less than 40 pounds)

Environment: Work with frequent interruptions; maintain professional demeanor under stress

Regular attendance is an essential function.

Minimum Experience:

2 years prior clerical or secretarial experience required

Experience in a public school environment preferred

Experience with employee benefits insurance and/or human resources preferred

MAJOR RESPONSIBILITIES AND DUTIES:

Employee Benefits Administration

  1. Manage various employee benefits programs such as group health flexible spending accounts dental and vision accident and disability life insurance 403(b) and wellness benefits.
  2. Prepare and communicate benefits orientation enrollment deadlines and protocol for new employees.
  3. Conduct benefits orientations in an individual and group setting.
  4. Assist employees in completing benefits enrollment electronically.
  5. Act as a liaison between the employees and insurance administrators/carriers in seeking coverage for specific conditions or treatments.
  6. Respond to benefit inquiries from managers and employees on plan provision benefits enrollment status changes and other general inquiries.
  7. Assist employees with health dental life and other related benefit claims.
  8. Effectively understand interpret and be able to communicate plan benefit plans according to plan documents.
  9. Assist with preparing materials and scheduling meetings designed to help employees obtain information and understand company benefits and other related incentive programs. Ensure distribution of required employee notices.
  10. Stay current on carrier services products websites and capabilities.

Records Reports and Correspondence

  1. Prepare departmental correspondence and forms.
  2. Compile maintain and file all reports records and other documents as required including workers compensation records and confidential medical certifications.
  3. Maintain confidentiality of information according to HIPAA guidelines.

Other

  1. Assist in other areas of the Benefits Department.
  2. Follow district safety protocols and emergency procedures.
  3. Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics.
  4. Perform such other tasks and accepts such other responsibilities as may be assigned.
