Job Description:

The Academic Program Specialist II plays a vital role in supporting the delivery of foundational medical education in the Office of Undergraduate Medical Education Programs within the College of Medicine. This position serves as a key academic coordinator for multiple systems-based courses during the first two years of medical school. This position plays a central role in planning and executing all aspects of course delivery while ensuring a seamless experience for faculty and students. About This Role:

Course Management

  • Manages multiple systems courses throughout the phase 1 curriculum; oversees the creation and administration of the courses.
  • Coordinates multiple aspects of overlapping courses simultaneously including scheduling of general teaching and course activities.
  • Maintains and updates detailed course schedules in the academic calendar year for student information and medical education administration in coordination with other COM faculty and staff.
  • Develops and maintains Canvas course pages including posting syllabi schedules lecture materials assignments and notifications.
  • Ensures the student calendar system is updated to reflect current course schedules lectures patient presentations labs and active learning sessions.
  • Creates and edits student informational documents course syllabi and other course related documents.
  • Assists with creation and facilitation of active learning activities.
  • Prepares quizzes examinations assessments schedule exams and post exam reviews and ensures scores are available to students on Canvas in a timely manner.

Student Services

  • Advises and guides students based on information provided.
  • Manages and tracks student assignments and completion of course requirements.
  • Communicates effectively and follows-up with students in a timely manner.
  • Maintains student records and files securely.
  • Coordinates textbook adoption information including gathering information from course directors and vendors.

Program Oversight

  • Facilitates student evaluations of faculty for lectures given during the first two years of the medical curriculum.
  • Prepares the teaching effort as required by the state university and Office of Educational Affairs.
  • Identifies and documents problems assesses course performance and provides a variety of alternatives to enhance alignment with course objectives for internal office operations.
  • Assists the Office of Program Evaluation and Student Assessment with curriculum mapping.
  • Assists course directors with exam blueprinting and annual review of previous questions for assigned courses.
  • Formulates administers collaborates and evaluates interoffice policies and procedures for assigned courses.
  • Schedules coordinates attends and takes minutes for course debriefings and assigned courses.

Coordination of Stakeholders

  • Assists in answering questions and tracking of course goals and activities.
  • Communicates effectively and timely with internal and external stakeholders (i.e. course/clerkship directors course/clerkship managers simulation center patients students community leaders and community outreach organizations.

Expected Salary:

$48000 - $50000 annually; commensurate with education and experience.

Required Qualifications:

Bachelors degree and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:

The ideal candidate will possess:

  • Experience with course management and familiarity with medical courses beneficial. Ability to plan organize and coordinate multiple projects independently.
  • Self-directed able to prioritize work assignments and work with minimal supervision.
  • Excellent written and verbal communication skills are essential as are excellent organization and time management skills for successful program operation.
  • Advanced knowledge of Adobe Acrobat Professional and Microsoft Office Suite (Word Excel Access PowerPoint and Publisher) is essential.
  • Higher level Excel skills are particularly important (e.g. pivot tables and lookup functions).
  • Experience with Canvas Learning Management System New Innovations and/or ExamSoft test administration software.
  • Experience using Qualtrics to develop and administer surveys and questionnaires and IBM SPSS.
  • Higher level degree in education.
