Evening weekend and off-campus Education Centers (Lanai and Molokai) may be assigned as regular workload.
This is NOT a remote position the job requires in-person work.
Under the direct supervision of the Auxiliary Services Manager

Duties & Responsibilities:

(NOTE:**denotes essential functions)

  1. **Computerized Maintenance Management System Administration
    1. Oversee the Computerized Maintenance Management System (CMMS) ensuring it remains current functional and aligned with campus needs.
    2. Manage work orders (WO) including generation scheduling tracking and closure.
    3. Develop and generate preventive (PM) and predictive (PdM) maintenance schedules.
    4. Provide training and support to users; liaise with Information Technology (IT) and the University of Hawaii (UH) System for upgrades and maintenance.
    5. Integrate permitting contracts and compliance tasks into CMMS with appropriate triggers and tracking.
    6. Recommend system improvements to enhance performance and usability.
  2. **Operations & Administrative Support
  1. Serves as backup to the Auxiliary Services Manager (ASM) during absences and supports day-to-day operations across O&M departments (janitorial landscaping maintenance facilities).
  2. Supervise custodial and grounds staff in collaboration with working foreman(s) to assign and monitor daily tasks and completion.
  3. Assist the Facilities Manager in planning scheduling and managing repair and capital improvement projects.
  4. Collaborate with consultants contractors UH engineers and vendors under ASM guidance.
  5. Maintain and update campus O&M records including drawings permits certifications and documentation
  1. **Office & Human Resource Support
    1. Assist in Operations & Maintenance (O&M) procurement developing policies Standard operating procedures (SOPs) and training materials.
    2. Support Human Resource (HR) processes: performance evaluations leave tracking uniforms/shoes and emergency hires for janitorial and groundskeeping staff.
    3. Aid in procurement functions: Purchase Orders (Pos) Purchasing-Card (P-Cards) invoicing inventory contracts and reconciliations.
    4. Deliver campus-wide training on O&M procedures and system usage.
  2. **General Duties
    1. Promote good housekeeping and organized work practices.
    2. Coordinate staff training including seminars certifications and continued education.
  3. Other duties as assigned
Minimum Qualifications:
Education and Professional Work Experience
  • Possession of a baccalaureate degree in Business or Public Administration Management or Operations Management Engineering Construction Management or a related field and three years (3) of professional experience with responsibilities in Management; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
Knowledge Skills and Abilities:
  • Considerable working knowledge of principles practices and techniques in the area of Computerized Maintenance Management System as demonstrated by the broad knowledge of the full range of pertinent standards and evolving concepts principles and methodologies.
  • Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with Project or Management.
  • Demonstrated ability to resolve wide-ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective innovative and timely manner in regards to Project or Facilities Management.
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by the preparation of reports and other materials.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software and operate the current Microsoft Office Suite.
  • Demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.
Supplemental Minimum Qualifications:

  1. Able to develop and understand Spreadsheets and Technical Writing
  2. Able to lift a minimum of 30# of weight in various configurations
  3. Able to obtain Utility Cart and Material lifting certifications
  4. Possession of a valid Drivers License
Desirable Qualifications:

  1. Demonstrate knowledge of the Family Educational Rights & Privacy Act (FERPA) regulations
  2. Experience using and extracting data from a student information database in a college/university setting
  3. Proficient with computer software applications in terms of data spreadsheets presentations and e-mail; familiar with database applications.
  4. Experience with the University of Hawaii Banner Student Information System.
  5. Demonstrated knowledge of the University of Hawaii employee and student employee regulations.
  6. Demonstrated knowledge of basic web programming experience.
